Enlighten is looking for an Administrative Specialist to provide travel and expense, office administration, and receptionist support for Enlighten's current and future corporate headquarters. Will work in a professional setting interacting with all levels within the company and visitors/customers. Enlighten will move its headquarters from Linthicum Heights to Columbia, Maryland, in the summer of 2023. This highly visible position will require a customer service mindset and attention to detail.

Job Description
Enlighten is looking for an Administrative Specialist to provide travel and expense, office administration, and receptionist support for Enlighten's current and future corporate headquarters. Enlighten will move its headquarters from Linthicum Heights to Columbia, Maryland, in the summer of 2023. This highly visible position will require a customer service mindset and attention to detail.
Essential Job Responsibilities
- Responsible for the timely and accurate end-to-end travel booking and expense processing, including data collection, matching to receipts, and data entry, following established HII business rules to ensure prompt payment to Enlighten Director-level staff
- Responsible for reconciling, auditing, and ensuring expense submittals for Enlighten Director-level staff remain accurate and that errors are corrected promptly
- Greets and serves visitors by greeting, welcoming, and directing them appropriately. Will notify company personnel of visitor arrival
- Assists Enlighten staff and auxiliary HII team members with event and meeting support functions, such as site openings and other events, on an as-needed basis when directed by Enlighten Senior Leadership
- Maintain office supplies and inventory for the corporate office. Works with remote office technical leadership to ensure requested office supplies remain stocked
- Conduct daily opening procedures for Enlighten's corporate headquarters
- Other duties as assigned
Minimum Qualifications
- Security Clearance - Current U.S. Government Security Clearance is not required to start, but could be processed for a clearance and therefore all candidates must be a U.S. Citizen.
- A High School diploma and at least four years of prior work experience as a receptionist, office administrator, personal assistant, and/or an administrative specialist
- Strong work ethic and a self-starter
- Proficient in MS Office Products (Word, Excel including Pivot Tables and charting, PowerPoint, and Outlook) and Adobe Acrobat Professional
- Excellent grammar, punctuation, spelling and proofreading skills
- Strong attention to detail and flexibility
- Must be able to commit to work hours in the range of 8:00am - 4:00pm daily at our headquarters in Linthicum Heights, MD to start and then Columbia, MD (when we move there in the summer 2023)
Preferred Requirements
- Prior experience supporting a government contractor.
- Experience with Cost Point and Deltek.
