FAES | Agricultural, Environmental and Development Economics

The Departmental Event and Space Coordinator for AEDE will work with faculty, staff, and students on activities important for the life of the department. This individual will be the primary event manager for department seminars, social events, and external extension and outreach events. In this role, they will lead the planning of elements necessary for a successful event (venue, food, etc.), coordinate advertising and attendee tracking, make necessary advance orders for items like food, and manage the logistics of the events themselves. This individual will also be the space and equipment manager for AEDE. In that role they will coordinate policies and space assignments, help to determine and order furnishings and repairs needed, and manage the execution of space management and upkeep. Finally, they will be responsible for health and safety duties in the department.

Key Responsibilities:
  • Event management
    • Work with faculty and staff to plan space, food, technology, and other needs for departmental social and scholarly events.
    • Coordinate event advertising and tracking of expected numbers of attendees.
    • Order food for events.
    • Manage logistics at events themselves, including meeting caterers and other vendors, preparing food service tables, room setup and teardown.
  • Space and equipment management for AEDE
    • Assist with space assignments for faculty, staff, graduate students, visitors, and post-docs.
    • Assist in determining departmental policies regarding space.
    • Determine furnishings needed.
    • Order furnishings as needed, prepare rooms for delivery, and coordinate installation.
    • Arrange and manage requests for repairs and improvements.
    • In coordination with the Assistant to the Chair, coordinates key and card reader access to department spaces.
  • Health and safety management
    • Address potential or real fire code violations as needed in AEDE spaces.
    • Serve as AEDE liaison for the Building Emergency Action Plan in the Agricultural Administration Building (Ag Admin) - .
    • Carry out injury reporting and employee accident reporting.
    • Serve as AEDE representative for the Business Continuity Plan ( ).
    • Maintain and communication Ag Admin Suite 250 Emergency Procedures.
  • Other duties as assigned.

Minimum Required Qualifications:
  • High school degree or GED equivalent and 1 year of relevant experience required. 2-4 years of relevant experience preferred.
  • Skilled in using office computer software including: MS Word, Excel, Powerpoint, and Outlook; videoconferencing software like Zoom and Teams; scheduling tools such as Doodle Poll or Whenisgood.
  • Ability to use graphic design software to create signs and advertisements is preferred.
  • Strong project management skills
  • Excellent interpersonal skills, including ability to work in teams, engage with visitors, contract with vendors, and embrace a diverse community of faculty, staff, students, and stakeholders.

Position is 75% FTE. Required in-person 3 days a week routinely and as needed for special events.
