Major roles of key user:

The key user is in a warehouse the main link between operation and IT service team and enables an efficient and high-quality support/communication between warehouse and IT service team

The key user is in a warehouse the main link between project teams implementing new customers and enables a smooth transition from project to daily support.

The role of the key user is a most important one when a JDA WMS implementation is or has taken place. The key user is the main communication contact for

Operational staff in case they face a problem or a training need (go to person)

Operational team leads to document processes, rules and guidelines

Project teams prior and during go live to document and perform training / train the trainer

IT service/support team after go live / handover to handle tickets and regression testing s

Requirements for the role

Professional background in IT and/or Warehouse management/ Logistics

  • Work experience with JDA WMS system or any other warehouse management system
  • Work experience in logistics / distribution warehouse

Leader personality

Energetic, proactive & positive personality

Service oriented and Can-Do attitude

Strong team orientation

Strong analytical skills to determine root cause of problems

Able to communicate on operational floor as well with IT staff

Capability to propose solutions and alternatives to given solutions

Keeping calm and focused in hectic environments

Methodical approach and base project management understanding

Structured and aim to define and follow guidelines and standard procedures

Capability to train people (operational staff and operational trainers)

High flexibility to react on problem situation

Very good English language

Spanish as second language

Required technical IT skills

JDA WMS application or experience with other logistics/distribution warehouse management systems

Microsoft Word, Excel, PowerPoint, Outlook, Teams

Ticket management tools

Preferably experience in the area of Databases and EDI communication

Required warehouse / logistics skills & experience

Good experience in warehouse operation

Experience as key user, supervisor or team lead in logistics operation

Acted as trainer and train the trainer in logistics projects and at floor with operation

Experienced in site technology (Scanners, Printers, Access points, integrated scales)

Key user tasks

The key user is supporting the site operation before and after the implementation of the system.

1. Understands the foreseen standard business processes and can identify and explain potential details (process/rules/functions, reports etc.) not covered by given design to trigger a clear decision, if additional points are taken up to improve process/system efficiency and quality.

2. Discuss with the local operational resources proposed technical solutions in JDA WMS and align understanding and expectation of future coverage through system with operation and management.

3. Is key contributor within UAT cycles for all changes. Is aligning with IT service team / project team on findings.

4. Align with IT service team any new implemented system changes within defined handover sessions (pre-go live, post go live)

5. Creates SOP & training material for same for all workflows covering all agreed system- and organizational steps. Is responsible to keep respective documentation at any time up to date to latest level.

6. Supports and performs training for the local users, trainers, supervisors, team lead and warehouse staff. Gets regular training and update from service team.

7. Test provided setup of JDA WMS in collaboration with project team and feedback to project team test result.

8. Is primary contact for operational warehouse staff and acts as single point of contact with IT service team.

9. Manages ticket process within defined ticket system and is applying all given rules and guidelines for an efficient ticket handling - > KPI to fulfill

10. After Go live, in case of additional development work going into regular pipeline (requirements not covered by initial introduced standard), the key user creates respective BRF, launch same with defined decision makers (approval on change, costs & timeline). Having a go decision from decision makers, key user is planning together with the IT team realization plan.

11. Take care that defined standard solution in the area of warehouse applications are used and no uncontrolled changes in the system setup are done.

12. Supports the local staff daily on all questions, problems and suggestions as single point of contact for operational staff. Resolve operational questions / problems directly at site using his additional skills and features in system made available for this role (e.g. direct adding of users, changing roles of users)

13. Follow up on tickets and after resolution close them and respectively communicate about outcome. Align on root cause with IT service team.
