Process jobs to be print ready using (Adobe Acrobat, Adobe Illustrator, Photoshop)
Provide Customer Service via (Phone, Email, In Person)
Inventory, Order Products, Shipping and Receiving

General Description

Under supervision, the Document Services Specialist 1.Operates a variety of analog and computer controlled digital high-speed publishing and document scanning systems, including networked digital printers, production printers, color copiers, binding equipment, microfilm scanners, and digital scanners.

Distinguishing Characteristics
The Document Services Specialist I is the entry and first working level in this two level series. This classification initially works under close supervision, but works more independently as experience is gained.

Essential Job Functions

Typical Tasks

  • Learns to operate a variety of copy center equipment including digital duplicators, production printers, color copiers, collators, stapling machines, and bindery equipment;
  • Learns to operate a variety of document scanning equipment including microfilm scanners, Multi-Function Device (MFD) scanners, and high-speed digital scanners;
  • Performs cleaning and daily maintenance of copy center equipment;
  • Learns to enter document meta data into document management software;
  • Performs quality assurance (QA) on scanned documents to ensure digital integrity;
  • Drives a vehicle to field locations to pick up or drop off documents;
  • Takes requests for document services and learns process for retrieval and delivery;
  • Maintains inventory and storage of paper stock and other supplies;
  • Maintains appropriate records and logs of copy center activities;
  • Lifts and carries heavy packages up to 50 pounds;
  • Performs related duties as required.

Minimum Qualifications

Employment Standards
Sufficient training, education, and experience to demonstrate possession of the required knowledge, skills, and abilities.

Development of the required knowledge, skills, and abilities is typically obtained through a combination of education and experience equivalent to completion of the 12th grade, or equivalent, and experience operating personal computers and common software applications. Possession of a California driver's license is required.

Supplemental Information

Knowledge of:

  • Personal computers and common software applications;
  • General operation of reproduction equipment;
  • Record keeping, filing, indexing, and cross referencing;
  • Correct English usage, including spelling, grammar, and punctuation;
  • General customer service skills;
  • Basic mathematics;
  • Modern office practices and procedures.

Ability to:

  • Follow oral and written directions, including following job requests and meeting the required deadlines;
  • Learn operation of digital reproduction and bindery equipment, as well as associated computerized components and other copy center equipment;
  • Learn operation of production and microfilm scanners along with document management software;
  • Communicate effectively, both orally and in writing;
  • Maintain records associated with Copy Center and Document Services activities;
  • Meet deadlines;
  • Safely lift and carry up to 50 pounds;
  • Establish and maintain effective working relationships with those contacted in the course of work.
