Job Description

Our client has a permanent opportunity to join their team as an Executive Support Specialist experienced within Defense Intelligence or the IC. This role provides a full range of administrative support requirements for the Defense Intelligence Agency (DIA) National Media Exploitation Center (NMEC) senior leadership. Defense Intelligence Agency (DIA) specifically the Directorate of Science and Technology (ST) and the National Media Exploitation Center (NMEC) senior leadership. Must be able to work in a high-operational tempo environment and able to work independently.

Primary Work Location: Bethesda, MD

RESPONSIBILITIES:
  • Assist in composing non-technical correspondence to include endorsements, requests for data, briefings, rosters or reports
  • Manage senior leadership calendars; coordinates with external offices, as needed, in support of high-level meetings
  • Screen incoming correspondence and determines appropriate actions
  • Maintain an appointment calendar and facilitates coordination for leadership to attend meetings and other functions
  • Review outgoing correspondence and reports, ensuring proper formats and correct grammatical content are used, and ascertaining that all necessary coordination has been completed
  • Assist in creation of government travel orders as required
  • Assist in monitoring and tracking official travel for assigned personnel
  • Assist in monitoring and tracking of assigned taskings, ensuring proper distribution, notification, coordination, and submission
  • Follow records management instructions and guidelines to assist in ensuring procedures are followed for the proper maintenance, storage and destruction of all types of records and correspondence
  • Assist division and branch leadership with travel procedures, to include coordination and creation of travel orders in the Defense Travel System
  • Assist in filing/saving official records to the central filing system (hard and soft) and for reviewing documents for destruction or retirement
  • May require Special Access Program (SAP) access


QUALIFICATIONS:
  • Minimum of five years' experience in a senior EA position supporting DoD or the Intelligence Community
  • Top Secret clearance with SCI eligibility; requires a current Counterintelligence polygraph or ability to pass a Counterintelligence polygraph upon hire
  • Bachelor's degree in human resources and/or administration
  • Knowledge in time keeping tasks and travel order processing procedures
  • Proficient using MS Office Suite of applications (e.g., MS Word, Excel, PowerPoint, MS Project and Microsoft Access (database))
  • Knowledge in the preparation, crafting, and editing of executive-level and technical correspondence, summaries, guidance, and other documents
  • Possess strong verbal and written communication skills
