Job Description

The Finance Project Management Office (PMO) team is looking for an experienced, energetic, pro-active Project Coordinator.  The candidate will work with and support the program director and project managers. The Coordinator will be managing meetings including scheduling and agendas, taking and publishing notes, updating status reports and documenting process flows.  The individual must be able to work independently and able to establish a positive, professional relationships with business and IT teams.
Key Responsibilities:
Assist and support Project Managers daily to effectively manage and prioritize workload
Play and active role in the project team by tracking all project details and providing daily administrative support to keep projects on schedule.
Scheduling, coordinating meetings and appointments, including following-up with attendees
Create agendas and other meeting materials in PowerPoint, Slides, Jira, Confluence, Excel, Slack
Mastering conference room locations and A/V setup to ensure seamless meetings
You will start meetings as well as record and publish meeting notes
Following up with team members to ensure they deliver their tasks on-time
Managing PMO Backlog Board with incoming requests
Skills: You must have solid experience in:
Working effectively in a collaborative, fast-paced, deadline-driven environment.
Setting times and dates for global meetings to keep on schedule and relaying any issues with timelines or stakeholders to the project manager
Jira and Confluence to post meeting notes, manage updates, and maintain project documentation
Excellent problem-solving and planning skills, with a focus on quality and accuracy
Ability to multi-task with strong attention to detail and be adaptable to change
Excellent organizational, communication (written & verbal) and interpersonal skills
Agile methodologies and organization change management
Ability to take direction from team members and execute in a timeline manner
Ability to work on multiple projects concurrently
Ability to present information effectively
4+ years experience working at technology companies and within technology organizations
Facility with tools such as JIRA and Confluence, Excel, PowerPoint, etc
Meet, hosting and screen-sharing
Excellent written skills and client-facing presentation skills
Knowledge of Lucid Chart and SmartSheets is a plus
Have a good understanding of finance and accounting workflow process. Order to Cash, Source to Pay, R to R, FP&A etc
