Job Responsibilities (may or may not include):

  • Posting job orders online
  • Sourcing resumes for Recruiting team
  • Posting social media notices/announcements (Linked, Indeed, Facebook, et al)
  • Schedules internal and external candidate interviews for the Talent Acquisition team
  • Attend bi-weekly update meetings with recruiters to understand status/scope of current recruiting activity and independently takes action based on information received
  • Take Recruiting team meeting notes
  • Format resumes upon request
  • Manages calendars and availability of some Recruiters and their interview teams and handles reschedules and cancellations as needed
  • Ensures candidates have a positive experience while facilitating all aspects of the interview process including schedule preparation and delivery; confirmation to both hiring team and candidates; candidate travel and other logistics as needed; and on-site logistics (conference rooms, lunch, etc.)
  • Sends candidates the employment application, benefits brochures, parking/directions, and travel booking information (as appropriate)
  • Solicits and tracks candidate assessment forms from hiring team and prepares candidate feedback summaries as needed
  • Works with Applicant Tracking System (ATS) accurately and consistently within the policies of the organization and all legal requirements
  • Assists with onboarding of new employees and temporary staff by working with hiring manager, IT, and Facilities
  • Administers pre-employment background checks
  • Responsible for the maintenance of personnel files, assures completeness of files
  • Verifies I-9 documentation
  • Answers routine questions from colleagues about employment procedure and policies, benefits and other HR-related topics
  • Processes mail, makes photocopies, faxes documents and performs other clerical functions
  • Guide applicants through their application, testing and onboarding process
  • Responsible for answering incoming calls, screening them as necessary, and directing them to the appropriate personnel
  • Perform data entry of confidential employee information into the Candidate/Client database.
  • Serve as backup to other office recruiting divisions
  • Communicate and coordinate with clients regarding hiring efforts
  • Assist in placing recruiting calls for qualifying positions and setting interview appointments
  • Understand open position descriptions and qualifications in order to appropriately source qualified applicants
  • Gather market intelligence and candidate referrals to build passive candidate pipelines for positions
  • Maintain accuracy in all metrics, assignments, system documentation and procedures
  • Maintain good relationship with all candidates, employees and corporate clients

Qualifications:

  • Minimum 2 years office experience (required)
  • Prior recruiting/staffing industry experience (preferred, but not required)
  • Knowledge of Microsoft Office (required)
  • Expert level knowledge of Microsoft Word (preferred)
  • Experience with Microsoft Teams (or Slack) (preferred, but not required)
  • Excellent typing and data entry skills needed (required)
  • Excellent customer service skills
  • Must be multi-tasked and organized
  • Must be articulate, polished and professional
  • Must be mature minded and team oriented
  • Must have a willingness to assist and to learn office procedures efficiently in order to function in an effective manner and to obtain accurate results
  • Must be able to pass a pre-employment drug screen and background check
  • Must take constructive criticism and apply training techniques
  • Illustrates tact, discretion, and good judgment in handling sensitive and confidential information
  • Strives for innovation and process improvement, as well as prioritize tasks and take initiative

Experience:

  • Clerical/Office: 2 years (required)
  • Staffing/Recruiting/HR: 1 year (preferred)

Education:

  • High School Diploma (required)
  • 2 year College Degree (preferred)
  • 4 year College Degree (highly preferred)
