Job Title: Senior Project Manager

Department: Delivery & Technical Services

Functional Area: Project Management

Reports To: Head of Project Management

FLSA Status: Exempt

 

Purpose of Position

Responsible for independently planning, coordinating, tracking and managing consulting and software implementation projects of various scope and size. May also act as primary Project Manager for Strategic or High-Profile clients in a Program Management or Portfolio setting. Leverage and improve existing documentation and project management methodologies as a key contributor to organizational process improvement. Lead by example both actively and passively for other members of the team by exemplifying the characteristics and behaviors of the successful Project Manager. Effectively collaborate with members of other COINS departments (Sales, Development, etc.) to ensure not only the highest level of client satisfaction and quality of project output is achieved, but also that activities are collectively orchestrated toward a common and established vision. The Senior Project Manager is responsible for the overall success of assigned projects.

Essential Duties And Responsibilities

  1. Work directly with the Head of Project Management or other department manager to define and implement large scale projects (e.g. COINS OA implementations, major software development projects, etc.).
  2. Participate in assigned PMO activities as needed to support departmental initiatives that will improve efficiency and build the project management knowledgebase.
  3. Mentor other Project Managers, aiding in onboarding and other training activities for new members of the team.
  4. Act as primary contact for the client and the project team on issues relating to assigned projects and as an escalation point for critical projects or those highlighted as at risk by the management team.
  5. Actively engage in the effective and efficient transition of contracted work from the Sales Department to the Project Management Team.
  6. Manage each project in accordance with established COINS methodology as well as adhering to other internal processes. This includes (but is not limited to) issue management, risk management, communications management, change control, etc.
  7. Ensure compliance with contract specifications ensuring that the project deliverables are in line with agreed scope, the client s acceptance of the described solution is obtained before beginning substantive work and the agreed change management process is used as and when required.
  8. Administer all contract financials including project and resource billing, monitoring the status of the project and ensuring accurate reporting of hours, jobs and cost codes.
  9. Close out projects appropriately by engaging in Lessons Learned and Support Handover activities and obtain final acceptance and validation from the client.
  10. Participate in project reviews.
  11. Maintain a high-level awareness of the client s business needs and COINS development plan for each assigned project and understand how the two must align.
  12. Alert appropriate people (i.e., client, project team members, management, sales, stakeholders) when milestone dates are in jeopardy and when milestone dates are missed. Every project must be completed within accepted tolerances.
  13. Create a baseline project schedule that reflects the client s requirements, key project activities as well as project team resource availability. Monitor and adjust the schedule as needed throughout the project.
  14. Perform any other duties required by the Head of Project Management.

 

Professional Development

 

  1. Through COINS training courses, seminars and college coursework, continue to increase knowledge of project management best practices and add to the team knowledgebase and library.
  2. Maintain awareness of project management tools and techniques that increase efficiency and promote greater client satisfaction.
  3. Provide constructive feedback regarding methodologies for project implementations and Delivery practices.
  4. Attend external training, workshops and meetings to maintain PMP certification.

Supervisory Responsibilities

This position requires management of assigned project team resources, including but not limited to members of the Project Management, Consulting, Development, and Technical teams. This position has no team lead or line management responsibility.

  • 5+ years of prior project management experience, preferably in Information Technology [Required]
  • Proven experience managing large scale software implementations [Required], especially with Enterprise Resource Planning (ERP) systems [Preferred]
  • Current PMP certification [Required]
  • Proficiency in Microsoft Office Suite and Microsoft Project [Required]
  • Creative problem solver with strong team skills [Required]
  • Excellent written & verbal communications skills; able to articulate technical concepts in non-technical terms [Required]
  • Demonstrated ability to multi-task, perform in a fast-paced environment & respond quickly to situations as they arise [Required]
  • Strong attention to detail [Required]
  • Resourceful; quick learner; self-motivated [Required]
  • Construction industry experience [Preferred]
  • Experience working with a Project Management Office (PMO) [Preferred]

 

Education and/or Experience

Bachelor's degree from four-year college or university and a minimum of 5 years of experience in a software development environment or project management environment as listed above.

 

Language Skills

Ability to read, analyze, and interpret complex documents. Ability to respond effectively to sensitive inquiries or complaints. Ability to present to clients and colleagues project-related information and/or explain the methodology employed for COINS projects. Understanding of business-appropriate language both verbally and written; speak in an appropriate way about company, colleagues, practices, etc.

 

Mathematical Skills

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Fundamental knowledge of PM estimating tools.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

Certificates, Licenses, Registrations

Possesses PMI-approved and related designation (i.e. PMP).
