Location: Remote from USA (EST prefered) - Not outside of USA

Work Hours and Location Hours: Full time, State working hours only 7:45-4:30

Our client seeking a Project Manager to orchestrate the implementation of the selected EHR system in Vermont schools. Preference will be given to who who has experience in similar missions and a skill set that meets EPMO process expectations,

Deliverables:

  • Document Management : Organize and archive project artifacts in the State designated document repository
  • Project Schedule : Create and maintain an updated Project Schedule using the project scheduling tool prescribed by the EPMO to reflect activities, dependencies, milestones, start and end dates, assigned resources, and percent of tasks completed to ensure project milestones and deliverables/outcomes are achieved. Ensure/Participate in weekly updates to the Implementation Master Schedule with Implementation vendor.
  • Project Status Report : Provide detailed project status reports using the State's Project Management Tool (PPMT).
  • Risk/Issue Management : Create and maintain risks/issues in the (PPMT). Provide recommendations to address new project issues and risks where applicable.
  • Facilitate Project Activities: Facilitate and manage all project activities including the State's procurement process.
  • Stakeholder Analysis : Produce/update stakeholder register
  • Meeting Facilitation : Facilitate project meetings including but not limited to risk/issue review meetings, status meetings, backlog grooming sessions, release planning meetings, change review meetings and other meetings upon request. Produce agendas (24 hours before) and minutes (24 hours after).
  • Track Project Financials using EPMO Project Management Tool: Create/Update project budget records. Enter/Update EPMO Project Management Tool with actual expenditures for financial/budget tracking purposes.
  • Decision Log: Track project decisions
  • Action Item Log : Track project action items
  • Change Management : Work with the EPMO IT Portfolio Manager and State governance committees to ensure impacts from changes to scope, schedule, budget, risk, or resources for any particular project are reviewed and understood before a change is undertaken, and that any such changes are formally accepted using a State approved Change
  • Deliverable Matrix : Track all project deliverables by use of a deliverable approval matrix.
  • Approved Deliverable Expectation Documents (DED) : Ensure successful completion of all Implementation vendor Deliverable Expectation Documents (DED)
  • Ensure successful completion of all Implementation vendor Deliverable Acceptance Form (DAF)
  • Conduct lessons learned activities and produce lessons learned report.
  • Produce Project closeout report

Certification:

  • Hipaa
  • PMP

The Project Manager with the necessary skills and experience to perform the following responsibilities, as directed by the State Authorized Representative or designee, in support of one or more projects:

  • Produce required deliverables under SOV governance, including those related to EPMO, AHS Program-specific, and other mandated governance requirements (e.g., CMS, FNS).
  • Organize and archive project artifacts within the designated State document repository.
  • Develop and maintain an up-to-date Project Schedule using the scheduling tool prescribed by the EPMO. This schedule should accurately reflect activities, dependencies, milestones, start and end dates, assigned resources, and completion percentages to ensure achievement of project milestones and deliverables.
  • Adhere to all EPMO templates as specified.
  • Provide recommendations to address emerging project issues and risks.
  • Collaborate with the EPMO IT Portfolio/Program Manager and State governance committees to assess the impacts of changes to scope, schedule, budget, risks/issues, or resources for any given project. Ensure such changes are reviewed, understood, and formally approved using a State-approved Change Request Form.
  • Engage State Program and/or Project Sponsors, relevant governance committees, and other stakeholders as needed to facilitate policy decisions and resolve issues concerning scope, resources, budget, or other matters requiring sponsor involvement.
  • Schedule and lead regular project status meetings, which includes preparing agendas, documenting action items, issues, key decisions, and distributing meeting notes to attendees via a link to the State-designated project team document repository.
  • Provide guidance and oversight to enhance the likelihood of successful project completion.
