Administrative Project Coordination Manager

Summary

The Administrative Project Coordination Manager plays a critical role in bridging administration and project management within the Operations Technology Group. This position is responsible for managing the day-to-day operations of the business office and addressing the technology needs of the department. The ideal candidate will lead professional meetings, oversee project execution, and maintain operational efficiency.

Responsibilities

  • Host and lead professional meetings both in-person and via Teams to represent division or project expectations.
  • Organize tasks for program areas and manage historical file artifacts.
  • Maintain department-specific calendars, including renewals, projects, and contracts.
  • Handle procurement requests, evaluate vendor quotes, and ensure alignment with departmental needs.
  • Follow up on procurement processes and deliverables, ensuring accurate record-keeping.
  • Collaborate with vendors on timelines and rollout of patches and upgrades.
  • Assist management in identifying and implementing process improvements.
  • Catalog software licenses and manage installation counts for active users.

Required Skills

  • Proven experience in administration and project management.
  • Strong organizational and multitasking skills.
  • Proficiency in hosting and leading professional meetings.
  • Ability to evaluate vendor quotes and manage procurement processes.
