Legal Office Operations Specialist
Philadelphia , PA (onsite)
2 Months Temp to perm
M-F 8:30AM-5:30PM
Provide operations functions within a legal office environment. Operate high volume duplicating, scanning, and mail processing equipment. Handle shipping and receiving of products and supplies. Sort, distribute, and manage incoming and outgoing mail/faxes including applying postage. Perform copier maintenance and basic repairs. Handle confidential and time-sensitive legal documents with quality and professionalism. Business casual dress required.
Responsibilities

Operate high-volume copy machines, document scanners, mail processing, postage meters, and associated equipment.

Perform binding, finishing, quality checks, clearing jams, and basic copier maintenance or repairs.

Sort, distribute, and deliver mail, faxes, and office supplies to designated personnel or drop-off points.

Maintain billing logs, meter readings, service calls, and supply inventories.

Use bindery equipment such as shrink-wrap machines, paper cutters, hole drills, staplers, stackers, joggers, tape machines, and scales.

Perform filing duties, including purging, archiving, scanning, file conversion, naming, and managing electronic files (OCR, FTP, TOC).

Deliver completed jobs and mail within and outside the site, possibly traveling between customer buildings.

Provide professional-level support to legal secretaries, paralegals, project managers, associates, and partners.

Maintain copier areas neat and stocked; respond to customer questions about job requests and status.

Assist with coordinating off-site projects as needed.

Perform other duties as assigned.
Requirements

High school diploma, GED, or equivalent work experience.

Minimum one year of legal industry experience preferred.

Related copy or mailroom experience required.

Ability to complete Ricoh Legal training within 90 days and maintain training requirements.

Proficient in MS Office Suite, email systems, and image handling software.

Technical aptitude with printers, copiers, postage machines, and other office equipment.

Strong customer service, communication, organizational, troubleshooting, and problem-solving skills.

Ability to work independently and flexibly to meet deadlines.

Ability to lift up to 50 lbs; physical requirements include walking and pushing mail carts.

Knowledge of shipping/receiving procedures and basic electronics preferred.

Professional business casual dress required; no athletic clothing (sweats, leggings, hoodies, or t-shirts).
