Job Description:
The Client is seeking a Project Coordinator to join our team and support the coordination of the AtoZ program and its project. This position will provide coordination support to the AtoZ Arizona Program Manager/Product Owner and the Project Manager. This role will be instrumental in facilitating effective communication, managing program logistics, and ensuring the smooth operation of program activities.
Key Responsibilities:
- Schedule and coordinate meetings for the Program Manager/Product Owner and the project team.
- Assist the program manager and project manager in the preparation of meeting agendas and distribute them in advance of meetings.
- Attend meetings, capture detailed and accurate notes, and distribute meeting minutes.
- Track, monitor, and follow up on action items, ensuring timely completion.
- Compile and summarize reports, presentations, and other program documents.
- Interface and communicate with program stakeholders.
- Assist in the development and maintenance of program documentation, including schedules, plans, and reports.
- Support the Project Manager in project-related tasks, such as tracking progress, managing resources, and coordinating project activities.
- Proactively identify and address potential issues or inefficiencies in program operations.
- Elevate issues to the attention of the program manager or project manager as appropriate.
- Document lessons learned and other project and program related documents.
Qualifications:
- Proven experience in a project support role.
- Excellent communication skills, both verbal and written.
- Strong organizational and time-management skills.
- Ability to think critically, take initiative, and work independently.
- Proficiency in Google Workspace and project management type software (such as Jira, Smartsheet, etc.).
- Exceptional attention to detail, grammar, and spelling.
- Ability to summarize complex information clearly and concisely.
- IT experience is highly desirable.
Preferred Qualifications:
- 2-3 years of experience in project coordination or program support
- Experience with IT projects
- Certified Associate in Project Management (CAPM) or similar certifications a plus but not required
