Job Description:
- This role is responsible for supporting procurement activities, maintenance renewals, dashboard reporting, analytics, and program management.
- The position focuses on developing procurement strategies, managing vendor interactions, supporting contract renewals, creating dashboards, and producing analytical and operational reports.
- The role also requires strong coordination, documentation, and communication across stakeholders.
- Develop procurement strategies and plans for hardware categories in scope.
- Create detailed procurement requirements for technical and business needs.
- Review and validate bills of materials including quantities, specifications, and lifecycle considerations.
- Recommend sourcing approaches, including vendor selection and competitive bidding.
- Develop RFP packages including technical specifications, deliverables, service level expectations, evaluation criteria, and scoring matrices.
- Conduct market price benchmarking and compare vendor pricing with historical and industry standards.
- Coordinate vendor inquiries and responses during RFP processes.
- Prepare bid evaluation reports with scoring, rationale, and recommendations.
- Develop negotiation plans including pricing targets, risk assessments, and prioritization of service levels.
- Document final commercial terms including negotiated pricing, discounts, warranties, and delivery commitments.
- Prepare procurement approval packages for leadership or finance teams.
- Reconcile installed asset bases and update lists with serial numbers, warranty dates, lifecycle flags, and maintenance tiers.
- Identify coverage gaps for maintenance or unnecessary support.
- Maintain a renewal calendar with prioritization based on business impact.
- Provide optimization recommendations for maintenance levels, contract consolidation, and removal of redundant coverage.
- Benchmark vendor renewals against industry standards.
- Prepare negotiation briefs including scripts, counter-offers, and financial support models.
- Summarize renewal evaluations including negotiated savings and recommended options.
- Maintain a centralized repository of maintenance agreements, terms, and renewal dates.
- Define dashboard requirements including KPIs, data sources, update frequency, and access needs.
- Map data sources for dashboards including vendor portals, asset databases, and procurement systems.
- Deliver dashboards containing procurement, maintenance, and operational KPIs.
- Track and analyze spend patterns, price trends, and vendor concentration.
- Report lifecycle and end-of-life risks for assets.
- Track savings from negotiation and optimization efforts.
- Provide forecasting models for future renewal and refresh costs.
- Prepare project charters, timelines, weekly status reports, and RAID logs.
- Compile monthly governance packs and maintain stakeholder communication plans.
- Create final closeout reports summarizing outcomes, savings, KPIs, and recommendations.
- Prepare knowledge transfer documentation and conduct walkthrough sessions.
- Ability to manage procurement, sourcing, and renewal activities across multiple projects.
- Strong analytical, documentation, and communication skills.
- Ability to collaborate with cross-functional teams including engineering, operations, finance, and project management.
- Experience preparing reports, dashboards, and structured procurement documents.
- Experience in procurement, sourcing, vendor management, maintenance renewals, or related operational functions.
- Experience with dashboard platforms including Power BI, Tableau, Looker, or Excel.
- Experience managing project documentation, RAID logs, and governance processes.
- Strong analytical and reporting skills.
- Ability to evaluate vendor performance and operational metrics.
- Knowledge of procurement methodologies and contract lifecycle processes.
- Ability to identify cost reduction and optimization opportunities.
- Strong organizational and project management abilities.
