Job Details

This is an Entry Level position.

  1. Primary Function:

The Assistant Estimator is responsible for assisting the Preconstruction team with all organizational and communications tasks within the department as well as facilitates progress for specific projects. Works with Architects/Engineers, subcontractors/suppliers and Estimators to ensure fluid operations of all Preconstruction processes.

 

  1. Reports to: Director of Preconstruction, CEO, COO, & CFO

 

III. Duties and Responsibilities:

 

Document Control:

  • Receives and downloads project plans, documents and specifications from emails, postings or shared files.
  • Organizes project plans and documents into an accessible format pertaining to the structure of the project.
  • Evaluates completeness of project documents and requests additional files, specifications or drawings.
  • Uploads project plans and documents to a distributable link or published site for subcontractor use.
  • Transmits addenda and other supplemental bid information to subcontractors.

Subcontractor Management:

  • Assists in the subcontractor prequalification process and ensures that awarded subcontractors have the proper experience and financial capabilities to perform on the project.
  • Helps manage the subcontractor solicitation process with Building Connected or other solicitation programs and assures that the proper contacts are included on appropriate bid lists.
  • Solicits and maintains communications with subcontractors and vendors.
  • Ensures subcontractor outreach in alternate mediums such as electronic messaging, forum updates and phone calls.
  • Publicizes project information, promotes subcontractor participation and helps ensure proper bid coverage.

Bid Coordination:

  • Assist the Preconstruction Director in maintaining project bids schedules and deadlines.
  • Helps track early stages of job prospects.
  • Assists in the project file organization and archive process.
  • Oversees shared inbox organization and correspondence management.
  • Schedules meetings on behalf of the preconstruction team.
  • Works with project managers and executives to ensure timely collaboration on projects.
  • Maintains bid log and database of estimate records.
  • Assists in researching local business license requirements and jurisdictional restraints that may incur job costs.

Project Support:

  • Assists in research of project specific materials and cost studies.
  • Performs basic quantity takeoffs.
  • Assists in the review and evaluation of minor bid packages.
  • Organizes quotes and other pertinent information received from subcontractors and suppliers.
  • Attends project specific meetings and maintains notes and minutes if necessary.
  • Assists in the handoff process to the operations team and ensures accessibility of all preconstruction records.

Bid Finalization:

  • Assists in data entry review for errors and miscalculations.
  • Proofreads clarifications for clarity and errors.
  • Accounts for all supplemental bid documents requested by clients.
  • Reviews final bid presentation and corrects aesthetic errors.

Team Collaboration:

  • Assists estimators and Director of Preconstruction Services with any related support they need.
  • Assures that the project team acts with integrity and employs ethical behavior during all stages of the estimating process.
  • Assist Project Managers during slow bid times.

 

  1. Performance Evaluation:

 

Performance will be evaluated based on:

o Ability to complete assigned tasks.

o Assistance in maintaining Preconstruction networks, tools, programs and templates.

o Assistance in network communication and satisfaction.

o Ability to build and maintain subcontractor/vendor relationships.

o Ability to communicate effectively with the project team.

 

  1. Required Skills and Experience:

 

o Independent sales strengths for presentations and projects pursuits.

o Strong communication, organization, time management and interpersonal skills.

o Office administration or customer service experience preferred.

o Basic interest in construction processes.

o High School Diploma or GED.

o Familiarity/Proficiency with the following software or internet-based programs: Adobe, MS Excel, MS Word, MS Outlook
