Role Overview

Cleveland Clinic is seeking an Epic Cadence Optimization Led to drive access transformation initiatives across a world-class healthcare system. This leadership role blends Epic technical fluency with operational strategy, focusing on optimizing scheduling workflows, improving patient access, and enhancing the digital front door experience.

As the Cadence Optimization Lead, you'll collaborate with Access Transformation, IT, Institute Operations, and Revenue Cycle teams to standardize and streamline Epic scheduling, template governance, and self-scheduling capabilities. This is a high-impact role ideal for someone who can operate at both tactical and strategic levels-comfortable discussing Epic build configurations as well as presenting to executive leadership.

Primarily Remote occasional onsite presence may be required. Travel allowance will be provided.

Must-Have Skills

  • Epic Cadence Certification (required)
  • 7 10+ years in Epic access/scheduling design or leadership roles within large academic or integrated delivery networks
  • Proven record of implementing access optimization initiatives across multiple hospitals/institutes
  • Expert-level understanding of scheduling templates, visit type rules, order transmittal workflows, and Epic decision tree logic
  • Strong collaboration with IT teams to translate operational needs into Epic configuration
  • Demonstrated project management, change management, and governance experience
  • Exceptional communication and stakeholder management with clinical and administrative leaders
  • Hands-on experience in outpatient access modernization (self-scheduling, referral conversion, patient portals, digital front door)

Nice-to-Have / Preferred Skills

  • Additional Epic certifications: Referrals or Radiant
  • Experience in Radiology, Diagnostic Scheduling, or Multispecialty Ambulatory Operations
  • Data-driven mindset with performance dashboard and KPI tracking experience
  • Leadership experience mentoring analysts or access optimization teams

Key Responsibilities

  • Lead the strategy and governance of Epic Cadence optimization across all ambulatory specialties.
  • Design, test, and deploy decision trees, self-scheduling rules, and ticket scheduling frameworks.
  • Oversee template integrity initiatives ensuring appointment capacity aligns with demand.
  • Collaborate with IT to scope, prioritize, and deliver Epic build enhancements (decision trees, rules, work queues, visit types).
  • Chair governance meetings for scheduling workflow change control, testing, and adoption.
  • Drive access modernization initiatives-online scheduling, centralized scheduling, Fast Pass, referrals, and order workflows.
  • Develop dashboards and KPIs to track fill rate, referral conversion, access leakage, and scheduling accuracy.
  • Partner cross-functionally with physicians, administrators, and access teams to reduce scheduling friction.
  • Mentor and guide Access Optimization Managers and Analysts to deliver measurable outcomes.
