Job Description
As a member of the University of Washington School of Nursing's Information Technology team (UW SoN IT), you will advance healthcare in Washington State and beyond by supporting teaching, research, and student success. We are a cross-functional team that supports a nationally top-ranked school of nursing by innovating in areas like online learning, student engagement, and academic operations.
The CRM & Data Integrations Administrator supports the School's Salesforce and EnrollmentRX platforms while strengthening the School's broader data ecosystem through integrations, APIs, data pipelines, and connections to the University's Enterprise Data Warehouse (EDW). This role involves low-code/no-code configuration as well as moderate scripting (e.g., using Python or PowerShell for API calls, automation, and data manipulation-no full application development expected) and automation for system integrations.
This role collaborates closely with the SoN IT DevOps team-a cross-functional group consisting of the School's Systems Administrator, Senior Interactive Developer (web operations lead), Assistant Director overseeing Service Desk operations, and this CRM & Data Integrations Administrator. The team works together on system integrations, workflow automation, data pipelines, web platforms, and service modernization efforts.
This role is critical to the School's ability to track prospective students, evaluate admissions pipelines, and integrate systems that faculty, staff, and students rely upon every day. The work done in this position directly strengthens the School's data-driven decision-making and supports the success of learners and faculty across all programs.
This position resides within the School of Nursing's Information Technology team (SoN IT) and reports to the Director of Information Technology.
The School anticipates transitioning admissions and recruiting from Salesforce and EnrollmentRX to a central UW instance of Slate in 2028. The CRM & Data Integrations Administrator will support this transition and, after Slate adoption, will support Slate and any continuing Salesforce operations, as well as other School data systems, integrations, and data-management workflows. This includes helping bridge gaps between current CRM capabilities and future Slate functionality, and ensuring continuity of critical business processes during the transition.

KEY RESPONSIBILITIES
CRM & CRM System Administration
- Administer and configure Salesforce and EnrollmentRX (including EDA) to support recruitment, admissions, and related School workflows.
- Manage CRM data structures, user access, roles/permissions, validations, and data-quality processes.
- Implement enhancements using low-code/no-code tools, workflow automation, and moderate scripting where appropriate.
- Diagnose, troubleshoot, and resolve complex system, integration, and data issues across CRM and connected platforms, escalating and coordinating with vendors or UW central teams as needed.
- Create and maintain system documentation and operational runbooks.
Data Integrations & Automation
- Build, maintain, and support integrations between School systems and cloud/on-prem platforms using tools such as Mulesoft, Jitterbit, or equivalent.
- Develop pipelines, ETL/ELT processes, and API-based data flows across internal and external systems.
- Conduct data analysis and assessment to support system integrations, reporting needs, migration planning, and technology projects, including evaluating data quality, structure, and readiness.
- Support data quality, governance, and metadata practices within the School's evolving data ecosystem.
- Support SoN IT's data-governance practices, ensuring data quality, lineage, documentation, and compliance.
- Design, test, and deploy integration changes in collaboration with the SoN IT DevOps team.
- Investigate and resolve integration failures, data discrepancies, and performance issues, identifying root causes and implementing long-term fixes.
Transition to Slate (2027-2028)
- Support mapping, migration, and workflow transition activities from Salesforce/ERx to Slate.
- Analyze existing CRM data, integrations, and workflows to inform migration strategies, risk mitigation, and future-state design during the transition to Slate.
- Assist in documentation and analysis of business processes to ensure continuity of service.
- Provide operational support for Slate post-adoption and maintain any remaining Salesforce functionality.
- Coordinate with UW central teams on configuration, data integration, and adoption planning.
- Assess and advise on whether Salesforce or EnrollmentRX will have any continuing role after Slate adoption, and collaborate with stakeholders to adjust the School's investment accordingly.
Cross-Team Collaboration & Support
- Serve as the School of Nursing's subject matter expert for CRM platforms, data integrations, and admissions-related data workflows, advising stakeholders on best practices, system capabilities, and technical constraints.
- Work closely with the SoN IT DevOps team, Learning Technologies, Student & Academic Services, Marketing & Communications, the director of Marketing and Program Growth, and other School units.
- Consult with stakeholders to understand business needs and translate them into sustainable technical solutions.
- Participate in continuous improvement efforts to modernize School data systems and workflows.
- Support SoN IT's commitment to secure, compliant, and accessible systems aligned with UW policies and regulations (FERPA, HIPAA, UW Privacy Policy, Administrative Policy Statements).
- Support the Director of Information Technology in vendor evaluations and contract discussions by providing technical analysis, requirements assessment, and input on service scope, pricing considerations, renewals, and system enhancements.
AREA OF DUTIES / TASKS
CRM Administration (45 %)
- Serve as primary administrator for Salesforce and EnrollmentRX.
- Act as the functional and technical authority for CRM configuration, data models, and integrations, providing expert guidance to IT staff and business stakeholders.
- Configure system objects, fields, workflows, flows, dashboards, and reports.
- Manage users, roles, and permissions.
- Maintain compliance with UW policies on privacy and security.
- Support plug-ins and add-ons such as Marketing Cloud Account Engagement (Pardot) and EventsRX.
- Provide user support, training, and documentation.
Data Integrations and Middleware (35 %)
- Design, implement, and maintain integrations between CRM and other systems such as Exxat, Interfolio FAR, and the UW Enterprise Data Warehouse (EDW).
- Develop and manage APIs, ETL jobs, and middleware processes.
- Collaborate with UW-IT and external partners on integration architecture and data governance.
- Document data flows and maintain metadata to support analytics and future migrations.
- Recommend tools and automation strategies to enhance reliability and reduce manual work.
Continuous Service Improvement and Transition Planning (15 %)
- Evaluate CRM features and processes for modernization opportunities.
- Lead small projects that improve data accuracy and user experience.
- Contribute to planning and readiness for transition from Salesforce to Slate.
- Assist with evaluation of vendor tools, integration platforms, and CRM extensions by analyzing technical fit, risks, and long-term sustainability to inform purchasing and renewal decisions.
Other Duties (5 %)
- Participate in IT team meetings and initiatives.
- Provide backup support for related IT systems as needed.
- Perform additional duties as assigned to support the School's mission.
REQUIRED QUALIFICATIONS
- Bachelor's degree in information technology, Computer Science, or a related field; or an equivalent combination of education and experience.
- Two or more years of experience administering CRM or other enterprise data systems in a complex organization.
- Experience developing or maintaining integrations using APIs, ETL, or middleware tools.
- Experience with data-integration platforms (e.g., Mulesoft, Boomi, Workato)
- Experience scripting for APIs with Python, PowerShell, or similar.
- Ability to analyze business processes and translate them into technical solutions.
- Strong communication and collaboration skills with diverse technical and non-technical stakeholders.
- Ability to handle confidential information responsibly and follow data-governance standards.
- Ability to manage multiple projects and deadlines effectively.
DESIRED QUALIFICATIONS
- Salesforce Administrator Certification.
- Experience with EnrollmentRX, EDA, or higher-education CRM environments.
- Experience with Slate or other admissions-oriented CRM platforms.
- Familiarity with higher-education environments and UW systems.
- Experience supporting data governance, metadata management, or data-quality practices
- Working knowledge of data-modeling and data-quality principles.
- Understanding of FERPA, HIPAA, and related compliance requirements.
- Experience with Microsoft Azure or AWS cloud services.
CONDITIONS OF EMPLOYMENT
- Standard Monday-Friday schedule; occasional evening or weekend work for system upgrades or transitions.
- Hybrid work options available per UW and School policies.
- May require occasional travel between UW campuses or partner locations.
- Must maintain compliance with UW information-security and privacy standards.
