Job Details
We are seeking an Information Governance Specialist who will be responsible for the continued oversight, development, and implementation of the firm s policies and processes for client matter documents and files, how they are managed internally and moved into and out of the firm with regard to legal personnel arrivals and departures. The Specialist is also involved in coordinating the return of files and records to clients upon request or at the conclusion of any engagement.
Responsibilities
* Provide continuous oversight and implementation of the firm s Data Governance policy, executing on data retention and data destruction processes and procedures.
* Manage the processes related to partner arrivals and departures with regard to the transfer of client matter records into and out of the firm.
* Act as principal liaison on transfer initiatives. Coordinate records transfer processes with arriving legal personnel, communicating with records or governance personnel from which inbound records originate.
* Contribute to the ongoing improvement of tools and processes related to tracking the lifecycle and chain of custody of files and data.
* Ensure inbound files are correctly classified and imported into firm-approved systems.
* Coordinate with other teams within the firm to facilitate the import and export of electronic records (i.e., eDiscovery, email, etc.).
* Document and organize all record transfer activities, including approvals, receipts, and acknowledgements.
* Secure client awareness and consent for records transfer processes.
* Work with legal personnel to review and purge data for expired matters.
* Perform database searches and audits to analyze, understand, and report on the data estate.
* Partner with the Information Security team on client requests related to data dispositioning and verification.
Qualifications
* At least two years of work experience in information governance or matter mobility with an emphasis on the management, organization, and movement of electronic records into and out of document management systems.
* Experience with data import/export tools required. Familiarity with Prosperoware or Power Desktop a plus.
* Experience with document management systems such as iManage, NetDocuments, or eDocuments.
* Strong computer and database skills. Proficient in MS Office applications, specifically Excel.
* Ability to learn new applications and adjust to evolving business processes.
* Excellent communication and organization skills: analytical, detail-oriented and methodical with the ability to adapt to shifting priorities and circumstances.
* Ability to manage multiple priorities and handle requests efficiently and professionally.
* Possess a commitment to deliver the highest quality service to internal and external customers.
