Job Title: Project Coordinator
Location: Boston, MA (Hybrid)
Duration: 10 Months (Tentative)
Work Schedule: Monday Friday, standard business hours

Position Summary:

We are seeking a skilled Project Coordinator to support a high-priority initiative involving the implementation of a unified Salesforce Licensing, Permitting, and Inspection (LPI) system. This initiative is designed to modernize business operations and improve the digital experience across multiple stakeholders.

The Project Coordinator will play a key role in aligning cross-functional teams, coordinating with external vendors and partner agencies, and maintaining momentum across all phases of the system's development using agile methodologies and modern project management tools. The successful candidate will be highly organized, proactive, and skilled in handling complex coordination tasks in a fast-paced, multi-agency environment.

Key Responsibilities:

  • Lead coordination efforts between internal teams, external vendors, and partner agencies, ensuring meetings are properly scheduled, documented, and followed up with actionable outcomes.

  • Work closely with project leadership (including Project Manager, Product Manager, and senior executives) to align daily activities with overall project objectives.

  • Use and manage tools including Microsoft Office 365 (Excel, Word, PowerPoint, Project, Teams, SharePoint), JIRA, and Salesforce to support documentation, collaboration, and tracking.

  • Maintain key project artifacts including charters, trackers, status reports, dependency maps, and operational checklists.

  • Support project reporting, access provisioning, and roster management:

    • Maintain and update Smartsheet rosters.

    • Track cybersecurity training and system access for internal and vendor teams.

    • Monitor licensing across tools such as Office 365, JIRA, Copado, and others.

  • Assist with executive-level communications and reporting deliverables.

  • Coordinate activities for User Acceptance Testing (UAT), training, and data migration readiness.

  • Support JIRA-based agile delivery by entering, updating, and tracking work items, monitoring sprint backlogs, and ensuring transparency of issue resolution.

  • Track project deliverables, risks, and dependencies, ensuring alignment with project milestones.

  • Serve as a liaison between internal teams and external partners, capturing feedback and managing follow-up actions through PMO processes.

  • Assist with change management efforts to ensure alignment across business and technical teams.

Preferred Knowledge, Skills & Abilities:

  • 2 5 years of experience coordinating large, complex IT projects experience in public sector or multi-vendor environments is a plus.

  • Strong meeting coordination, documentation, and follow-up skills.

  • Familiarity with Salesforce implementations or cloud-based platform deployments is preferred.

  • Advanced proficiency in Microsoft Office 365 tools, especially Teams, SharePoint, Project Online, and Excel; Power BI a plus.

  • Strong analytical and problem-solving skills, with the ability to perform root cause analysis.

  • Experience in budget tracking and KPI reporting to support project performance management.

  • Exceptional interpersonal and communication skills, with the ability to influence and engage stakeholders at all levels.

  • Demonstrated success working with cross-functional teams composed of internal staff and external partners.
