Position Description

The Intranet Manager is primarily responsible for the oversight, governance and continuous improvement of the AUB Intranet, ensuring alignment with organizational goals, user needs, and compliance standards. This role serves as the central liaison between Lines of Business (LOBs), Departments and AUB Technology, providing expert guidance, consultation and support for intranet enhancements, user engagement, and platform optimization.

The Manager exercises independent judgement and professional expertise to drive intranet enhancements and user experience all while reflecting AUB's values and policy requirements. Through strategic partnership with Technology and other stakeholders, this position influences outcomes that contribute to a valuable, user-friendly intranet - empowering employees, fostering collaboration and enhancing organizational productivity.

Key Responsibilities

Governance, Policy & Compliance
  • Develop implementation, implement and maintain a comprehensive governance model defining roles, responsibilities, policies and operational guidelines.
  • Establish and define appropriate usage standards for SharePoint Online, including permitted content, user access, and site design ensuring alignment with industry best practices and organizational policies.
  • Establish a regular cadence for governance reviews with stakeholders across IT, Legal, Audit, Records Management, and other business units to evaluate platform effectiveness.
  • Maintain intranet policy and procedure documentation to promote platform adoption and best practices.
  • Partner with Learning & Development to deliver user training and manage annual site owner attestations.
  • Create annual site review reports focused on content and access.
  • Proactively monitor intranet content for relevance and compliance.
  • Provide consultative reporting support for site owners offering insights and recommendations to enhance site performance.
  • Ensure compliance with organizational data security and governance policies across SharePoint Online and associated processes to maintain platform integrity.

User Support, Engagement & Site Management
  • Serve as the principal resource for basic user support and intranet guidance.
  • Encourage user engagement by designing feedback mechanisms and continuous improvement initiatives to enhance collaboration and platform adoption.
  • Manage intranet site and page updates and new site requests to ensure alignment with governance standards.
  • Direct the resolution of intranet related issues by troubleshooting and escalating complex problems.
  • Coordinate with departments on Term Store metadata to ensure content consistency and enhance search accuracy across the intranet.

Business Process Improvement & Technology Partnership
  • Work cross-functionally with departments to gather business requirements and partner with Technology to implement solutions (e.g., PowerApps, Power Automate).
  • Create and submit Business Requirement Documents (BRDs) for new initiatives ensuring alignment with business goals and stakeholder expectations.
  • Drive ongoing enhancements and continuous improvement by actively engaging stakeholders and implementing best practices.
  • Build and sustain strong relationships with stakeholders to guide prioritization and ensure team efforts support strategic objectives.
  • Apply change management best practices to increase adoption among end-user groups.

Design & Development
  • Initiate coordination with site owners and technology to deliver visually engaging web-based products that enhance user experience and engagement.
  • Design, develop and configure SharePoint pages, web parts, and other components, including web banners and graphics in partnership with marketing and technology.
  • Manage content types, libraries, lists and site/page permissions ensuring alignment with governance standards in partnership with technology and LOBs.
  • Partner with technology to leverage Microsoft Power Apps to automate and streamline SharePoint workflows, driving organizational workflows.
  • Provide consultation to customers on best practices and design patterns for Microsoft SharePoint and Microsoft 365 solutions.
  • Develop or contribute to solutions to a variety of problems of moderate scope and complexity within the intranet environment.

Organizational Relationship

This position reports to the Manager of Corporate Communications.

Position Qualifications

Education & Experience
  • Bachelor's degree in Communications, Information Systems, Business Administration, Knowledge Management, or a related field.
  • 5+ years of experience in intranet management, digital workplace solutions, or enterprise content management.

Knowledge & Skills
  • Proven experience with SharePoint Online and Microsoft 365 tools (PowerApps, Power Automate, Teams, etc.).
  • Experience developing and implementing governance frameworks and policies for digital platforms.
  • Strong background in stakeholder engagement, especially across IT, Legal, Compliance, Records Management, and Learning & Development.
  • Demonstrated ability to analyze business needs and translate them into technical requirements and solutions.
  • Experience in user support, training, and adoption strategies for enterprise platforms.
  • Familiarity with metadata management, taxonomy, and search optimization.
  • Experience with reporting and analytics related to content usage and site performance is a plus.
