Job Title: Technical Project Coordinator
Location: San Francisco, CA (Hybrid)
Duration: 2 Years (Likely to extend)
Summary: A large public sector organization is seeking a Technical Project Coordinator to manage and support two major infrastructure initiatives:
Migration of an existing Avaya phone system to a modern telephony solution.
Modernization of audio-visual (A/V) systems across multiple operational sites.
This hybrid role is based in San Francisco and will require occasional travel to sites across Alameda, San Mateo, San Francisco, and Tuolumne counties. The selected candidate will play a key role in project planning, coordination, documentation, and stakeholder communication across both initiatives.
Responsibilities:
Serve as the primary point of contact and subject matter expert for the telephony and A/V modernization projects, supporting the ITS Project Director and staff.
Plan and maintain detailed project schedules, track milestones, manage timelines, and ensure project deliverables meet scope and quality standards.
Coordinate site visits and gather business and technical requirements from stakeholders.
Document current and future-state requirements for processes and systems.
Create meeting agendas, draft minutes, and distribute follow-ups.
Develop and maintain risk management and contingency plans.
Implement communication strategies for internal and external stakeholders.
Manage vendor and stakeholder engagement across all phases of the project.
Monitor project progress, identify constraints, and recommend strategies to stay on schedule.
Maintain organized documentation and records for the telephony and A/V systems.
Prepare user communication materials and assist with user adoption planning.
Utilize Microsoft Office Suite (Excel, Word, PowerPoint, Teams, SharePoint) to manage documentation and communications.
Leverage project management tools (such as Microsoft Project or Asana) to track progress and milestones.
Required Qualifications:
At least six (6) years of experience serving in a role such as Technical Project Coordinator, Technical Project Lead, or Technical Project Manager, with a strong focus on technology implementation projects.
Demonstrated success in managing large-scale technology deployments across complex environments, specifically involving telephony or A/V systems. This includes experience with:
At least 3,000 users
100 or more rooms
20 or more separate physical sites
Proven ability to manage infrastructure migration or modernization projects, preferably within large public-sector or utility organizations.
Proficiency with project management software (e.g., Microsoft Project, Asana).
Strong skills in Microsoft Office applications (Excel, Word, PowerPoint, Teams, SharePoint).
Excellent communication, stakeholder coordination, and organizational abilities.
Ability to travel to multiple locations, including those not accessible by public transit.
