BRIEF DESCRIPTION:


The purpose of this position is to manage the Grants Funds and Budgets under multiple funding sources and streams. This is accomplished by providing fiscal support to Grant receivers and/or funding agencies, preparing and submitting Funding Agency expenditure reports and reimbursement requirements and preparing and sending Excel report files on a monthly basis to relevant sub-contractors. Other duties include reconciling numerous General Ledger accounts, reviewing requests for payment; assisting in the completion of CAFR, and providing various other related services.

Essential Functions

Provides fiscal support to Grant receivers and/or funding agencies by monitoring, allocating and classifying expenditures according to grantor requirements; compiling and submitting monthly, quarterly and annual reports to regulatory and funding agencies, categorized by financial and performance criteria and providing services on grant assignments as assigned.

Prepares and submits Funding Agency expenditure reports and reimbursement requirements by compiling data using PSR's and sub-contractors' reports; researching discrepancies and communicating and consulting with managers on budget overruns and differences.

Prepares and sends Excel report files on a monthly basis to relevant sub- contractors by receiving and verifying current monthly expenditures; updating and returning as next month's reports; processing current month's expenditures as reimbursement requests and entering A/P data to create vouchers for payments.

Reconciles numerous General Ledger accounts and provides various related services by researching and correcting variances; analyzing, researching and discussing problem areas with appropriate managers; preparing journal entries to record various activities not otherwise recorded; responding to auditor requests.

Prepares and analyses monthly reports for management usage by updating spreadsheets using various reports from the accounting system and coordinating activities with the appropriate personnel to ensure proper spending levels and reporting.

Assists with the completion of CAFR by reviewing project trial balances, project PSR's, receivables, revenue and customer summary reports; and completing other CAFR duties as assigned.

Provides related services by assisting with tagging fixed assets, internal inventory controls and year-end inventory for print shop, and working with department staff to accomplish departmental goals.

JOB REQUIREMENTS:

Formal Education/ Knowledge

Work requires broad knowledge in a general professional or technical field. Knowledge is normally acquired through four years of college resulting in a Bachelor's degree.

Experience

Under and including one year of experience.

Certification and Other Requirements

Valid state issued driver's license.

Reading

Advanced - Ability to read literature, books, reviews, scientific or technical journals, abstracts, financial reports, and/or legal documents. Ordinarily, such education is obtained at the college level or above. However, it may be obtained from
experience and self-study.

Math

Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Writing

Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech. Ordinarily, such education is obtained in high school up to college.
However, it may be obtained from experience and self-study.

Does research for budget documents. Compiles data for computer entry, and oversees budget preparation in general.. Has responsibility for monitoring budget expenditures (typically

division size or for a finite area of the budget (programs, activities, projects, or small organizational units). Reviews expenditures and submits findings to others for approval.
