Job Details
We are seeking a seasoned Veeva PromoMats Technical Lead to oversee a high-impact migration project within the life sciences domain, transitioning digital content, metadata, and workflows from legacy systems or DAM platforms into Veeva Vault PromoMats. This role is responsible for leading the technical design, validation, and execution of the migration while ensuring regulatory compliance, content integrity, and operational continuity for commercial and medical review teams.
Key Responsibilities:
Migration Architecture & Planning
- Define the technical migration strategy for transitioning promotional materials from legacy platforms (e.g., SharePoint, Documentum, AEM, or proprietary DAMs) to Veeva Vault PromoMats.
- Design and validate migration approaches, including Vault object mapping, metadata transformation, versioning strategy, and lifecycle alignment.
- Lead planning of data extraction, cleansing, enrichment, and load into Vault using tools such as Vault Loader, APIs, and ETL scripts.
Vault Configuration & Optimization
- Configure Vault PromoMats to support migrated assets, including document types, lifecycles, workflows, permission sets, and security policies.
- Enable business-specific requirements for Regulatory review, annotations, e-signatures, and audit trails.
- Drive the setup of document relationships (e.g., parent/child for claims and references) and automated publishing workflows.
Technical Leadership
- Serve as the technical point of contact for migration tools, internal developers, and external Veeva support resources.
- Provide guidance to migration developers and testers on error handling, data validation, and post-load QA processes.
- Identify gaps and custom requirements, coordinating with stakeholders to build configuration extensions if needed.
Integration Oversight
- Ensure seamless integration between Veeva PromoMats and surrounding platforms such as CRM (Veeva CRM/Salesforce), content approval systems, and brand portals.
- Manage API-based migrations where direct Vault Loader may not suffice (e.g., image references, video assets, linkage metadata).
Compliance & Governance
- Ensure that all migrated content and metadata meet 21 CFR Part 11, Annex 11, and GxP validation requirements.
- Maintain audit-ready documentation of all configuration, migration scripts, test plans, and execution reports.
- Coordinate validation testing and issue resolution during UAT and go-live phases.
Stakeholder Collaboration
- Engage closely with regulatory, marketing operations, IT compliance, and vendor partners to ensure smooth migration and operational readiness.
- Lead migration-specific workshops, sprint demos, and technical design reviews.
Required Qualifications:
- Bachelor s degree in Life Sciences, Computer Science, or related technical field.
- 5+ years of experience working with Veeva Vault, including at least 2 years of PromoMats migration or implementation experience.
- Hands-on expertise in Vault Loader, VQL, Vault APIs, and configuration of document types, lifecycles, and workflows.
- Proven experience leading large-scale migrations from legacy systems to Veeva Vault (especially DAM or content management systems).
- Deep understanding of regulated content management in life sciences and MLR process compliance.
Preferred Qualifications:
- Veeva Vault Admin Certification or Vault Platform certification.
- Experience with tools such as AEM, Documentum, SharePoint, or other DAM systems used in the pharmaceutical sector.
- Knowledge of GAMP5, Part 11 validation, and computer system validation (CSV) processes.
