HR/Procurement Onboarding Coordinator (1 year contract)
Apex Systems is seeking a detail-oriented and proactive Onboarding Coordinator to support end-to-end contractor onboarding and troubleshooting processes across platforms like VNDLY, Airtable, Sailpoint, and other technologies. This role is crucial in improving workflows, ensuring data consistency, and facilitating cross-functional coordination through meetings, documentation, and support across multiple technical teams.

Apex Systems is seeking a detail-oriented and proactive Onboarding Coordinator to support end-to-end contractor onboarding and troubleshooting processes across platforms like VNDLY, Airtable, Sailpoint, and other technologies. This role is crucial in improving workflows, ensuring data consistency, and facilitating cross-functional coordination through meetings, documentation, and support across multiple technical teams.
Key Responsibilities:
- Execute all onboarding tasks, including inputting data from vendors into XDev AT and VNDLY.
- Manage all troubleshooting processes.
- Catalog troubleshooting issues and collaborate with the tech services department to identify patterns and improve recurring tech issues.
- Run recurring IT onboarding sync meetings.
- Conduct weekly onboarding meetings.
- Communicate important IT vendor updates via vendor Slack channels.
- Drive onboarding process improvements across IT, VNDLY, Airtable, and SailPoint.
- Support quality reviews.
- Assist XDev team members with triage tasks.
- Lead documentation projects, including templatizing documents.
- Ensure data parity and organization across multiple platforms.
- Support relationships with Infosec, CWO, and Tech Services.
- Manage internal and external partner communications.
- Oversee special projects between ExDev and internal partners, specifically CWO and Tech Services.
- Perform data entry and data validation for XDev contracts, vendors, and contractors.
- Support the implementation of Airtable processes through automation.
- Assist with the budgeting process alongside the XDev Team.
Qualifications:
- Proven experience in onboarding and troubleshooting processes.
- Familiarity with platforms like VNDLY, Airtable, SailPoint, and other relevant technologies.
- Strong organizational and documentation skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and projects simultaneously.
- Experience in data entry, validation, and ensuring data consistency.
- Proactive problem-solving skills and attention to detail.
