Job Details

McNeill Baur seeks a hands-on, proactive end user support specialist with at least three years of work experience, preferably in an IP law firm setting, to serve in a highly interactive internal client-facing position. Experience working and providing IT services in a remote environment is also preferred. This position will join our collaborative administration team to provide end user training and support for the firm s cloud-based document management (NetDocuments) software application, along with basic hardware support.

Responsibilities:

  • Act as cloud-based document management system (NetDocuments) expert within the firm.
  • Set up new client workspaces daily, as needed.
  • Manage CollabSpaces within document management system for external sharing of information, including set-up, populating documents, and removing/deleting CollabSpaces.
  • Manage internal and external users of the document management system.
  • Manage the technical aspect of file transfer processes, consulting with outside counsel and internal customers to 1) receive incoming files and upload them to the document management system; or 2) prepare files for transfer outside the firm.
  • Create and manage ethical walls within the document management system.
  • Administer the firm s document retention policy within the firm s document management system.
  • Contribute to the onboarding process and training for new hires for the following firm software applications:
    • Cloud-based document management system
    • Office 365 applications (Outlook, Teams, Word, Excel, etc.) and the connections with the document management system
  • Provide basic troubleshooting assistance for firm hardware and software applications. Escalate as appropriate.
  • Develop and conduct end-user training sessions related to best practices, new features, or as requested.
  • User support for all Office 365 applications (i.e., Word, Excel, PowerPoint, etc.)
  • Partner with the administrative team in the creation and maintenance of a firm intranet using SharePoint.

ABOUT YOU

The successful candidate will possess:

  • Excellent customer service skills and attitude, with a patient, friendly demeanor.
  • Excellent problem-solving abilities and the capacity to troubleshoot and recommend solutions with a strong interest in teaching best practices.
  • The ability to work independently and communicate effectively with the Director of Operations & Finance, and the Director of IP Administration, partners, and team members with varying technical abilities working remotely across the country.
  • Strong knowledge of Microsoft desktop products, including Microsoft desktop operating systems and Office 365. A high proficiency with Outlook is required.
  • Proficiency with cloud-based document management systems, preferably Net Documents.
  • Knowledge of Intellectual Property prosecution law practice strongly preferred.
  • Ability to work a flexible schedule, including irregular evening and weekend hours, and to provide extended hours when required for specific project activities and during urgent problem-solving situations.
  • A college degree is preferred. However, candidates with equivalent experience will be considered.
