ASSYST is seeking a detail-oriented Documentum Records Management Specialist to manage the lifecycle of electronic and physical records within the specialized E-Safe application.

This role is critical for ensuring data integrity, compliance with federal/corporate retention schedules, and providing high-level technical support to users navigating the WebTop portal.

Key Responsibilities:

  • Profile and move records into designated folders within two (2) hours of receipt.
  • Ensure all non-duplicate records are accurately entered into the E-Safe application.
  • Maintain the setup and disposition of retention schedules within E-Safe using the Documentum Retention module in accordance with approved policies.
  • Scan and profile documents per client guidance. Ensure all created PDFs are high-quality, readable, error-free, and meet accessibility standards.
  • Submit a Records Management Weekly Report every Friday by 11:00 a.m. ET, detailing documents processed, pages scanned, metadata created, and project statuses.
  • Act as the primary trainer and support lead for users on the WebTop portal.
  • Interface with internal staff to coordinate the submission of paper and electronic records.
  • Assist with additional records management initiatives and programs as required under the task scope.

Requirements:

  • Direct experience with OpenText Documentum (specifically WebTop and the Records Management/Retention modules).
  • Proficiency in document scanning workflows and PDF optimization, including OCR (Optical Character Recognition) for text cleanliness and accessibility.
  • Deep understanding of records retention schedules and the ability to apply complex lifecycle policies to digital records.
  • Proven ability to meet strict Service Level Agreements (SLAs), specifically the 2-hour processing window for record profiling.
  • Strong interpersonal skills to provide technical training to users and coordinate effectively with internal stakeholders.
  • Exceptional attention to detail regarding metadata entry and the identification of duplicate records.
