Job Description:

Intro:

We are seeking a proactive and highly organized Lab Asset Coordinator or Specialist to join our Lab Operations team. This role is critical in ensuring the smooth operation, compliance, and safety of our laboratory environment by managing and maintaining laboratory equipment, supplies, and other assets. The ideal candidate will have hands-on experience in a biosafety lab environment (BSL-2), a strong understanding of asset management, and a roll-up-your-sleeves mentality to support a dynamic and fast-paced research setting.

Job Description:
  • Asset & Equipment Management
  • Perform hands-on troubleshooting, maintenance coordination, and service support for a wide range of lab equipment, including high-value imaging systems (e.g., $20M microscopes).
  • Conduct routine lab sweeps to proactively identify and address equipment issues before they impact research.
  • Track asset usage, maintenance history, and service records to optimize equipment uptime and reliability.
  • Support equipment purchasing and vendor coordination, including obtaining and reviewing field service reports and invoices for accuracy.
  • Operational Excellence
  • Maintain accurate records in asset management systems such as Coupa, QReserve, Google Workspace, Confluence, and CMMS.
  • Ensure timely and accurate data entry for service requests, work orders, and purchase orders.
  • Assist in the development and maintenance of equipment-related databases and reporting tools.
  • Support continuous improvement initiatives by collecting and analyzing customer metrics (e.g., financials, compliance, growth, and profitability).
  • Compliance & Safety
  • Ensure compliance with University, state (CA), and county environmental health and safety regulations, including BSL-2 protocols.
  • Adhere to lab safety requirements: lab coats, closed-toe shoes, ankle coverage, and tied-back hair in designated areas.
  • Create and maintain clear, effective signage for lab safety and equipment usage.
  • Customer & Vendor Relations
  • Serve as a key point of contact for 115+ lab users, ensuring equipment is functional and accessible.
  • Build and maintain professional relationships with researchers, vendors, and service engineers.
  • Schedule and escort vendors and subject matter experts during on-site service visits.
  • Physical & Technical Requirements
  • Comfortable working in a lab environment-not a desk job.
  • Capable of lifting and pushing equipment over 50 pounds.
  • Familiarity with imaging equipment and willingness to learn new technologies.
  • Strong communication skills to notify stakeholders of equipment status and service updates.
  • Team & Project Support
  • Participate in departmental projects and initiatives to enhance lab operations and customer satisfaction.
  • Support risk management strategies by identifying and mitigating potential equipment-related issues.

    Must-Haves:
    • Minimum 3 years of experience in lab asset management or lab operations.
    • Experience in a biosafety level 2 (BSL-2) environment.
    • Familiarity with QReserve and Google Workspace.
