IT Asset Coordinator
Job Summary
The IT Asset Coordinator will be responsible for coordinating and managing IT supplies and equipment. Primary responsibilities include direct monitoring over IT inventory/spare components held at various locations throughout the State. Asset Management duties include the proper recording and reporting of all incoming/outgoing assets in compliance with department and organization standards.
As an IT Team Member, each person must have flexibility in the duties they perform. Tasks may include operational responsibilities not directly related to initiatives, but will be within the professional s core skill set.
Principle Responsibilities: (Essential Functions)
- Record all activity related to receipt, transfer, storage, return, maintenance, decommission, etc., of inventory into tracking system in compliance with IT Inventory Management and Accounting Procedures.
- Ensure at all times that physical inventory is reconciled and in balance with Asset Management system.
- Conduct revolving quarterly inventory audits
- Conduct regular surplus events, with a minimum of one per quarter
- Maintain proper organization of stockroom and supply areas
- Retain working knowledge of stocked items
- Assist in establishing and maintaining re-order thresholds
- Establish, document, and maintain Standard Operating Policies (SOP) and Written Instructions (WI) based on duties
- Aid the IT Help Desk as needed; including exchanging printer cartridges, setting up new workstations for personnel, etc.
- Other relative duties as assigned by management
Job Requirement Skills:
- Competent in compiling, storing and maintaining data related to asset management
- Ability to comprehend terminology related to Information Technology
- Intermediate level experience in computer applications, including Microsoft 0365, with moderate skills in Excel creating filtered lists, graphs, pivots charts, etc.
- Self-motivated and flexible with the ability to prioritize workload and balance multiple tasks concurrently in a fast-paced environment
- Excellent verbal and written communication skills
- Possess good interpersonal skills. Comfortable interacting across multiple levels of the organization and liaise with other departments, personnel, and external business entities.
- Willingness to travel routinely (during business hours) to conduct inventory audits or other related activities
- Attention to detail with good organizational and time-management skills
Education/Experience:
- Strong background in inventory, asset management or materials control, preferably with IT hardware and peripherals
- High School Diploma or equivalent
Other Requirements:
- Ability to lift up 50 lbs. without assistance
- Ability to perform prolonged physical activities related to Asset Control (performing audits, regular stockroom organizing, receiving equipment, loading and transporting equipment for surplus, forklift operation, etc.)
