Job Details

The contractors will work for the Corporate Travel Office to perform general clerical, administrative and secretarial support services in support of the Corporate Travel Office mission and travel duties as assigned. The contractors to provide information related to administrative and procedural matters as follows but not limited to:

Reception: Greets internal and external visitors and directs customer to the appropriate DFC point of contact. Answers a multi-line CISCO telephone system courteously and promptly providing information to the general public and other interested parties, and/or directing callers to the appropriate office or individual. If unable to respond to inquiry refers person(s) to appropriate office or person.

Correspondence: Performs a variety of assignments to include but not limited to typing reports and routine correspondence. Types in draft and final documents for various DFC offices including technical documents such as correspondence, memos, reports and tables. Under instruction from the executive, the contractor may draft and type replies to correspondence of a non-technical or non-substantive nature in accordance with established precedents or relevant DFC correspondence manuals.

Clerical: Performs clerical and procedural duties which include: providing telephone and receptionist services; screening visitors and escorting them; maintaining records of leave and attendance; issuing various work orders for offices and conference rooms; requisitioning office supplies; following up on repairs of office equipment and printing services; reserving rooms for meetings; filing material and maintaining the office filing system; receiving and

controlling incoming correspondence/communications; reviewing outgoing correspondence, reports, etc. for format, grammar and punctuation and removing typographical errors

Files/Records: Establishes and maintains office files. Receives and distributes incoming mail to the supervisor or other staff, attaching relevant background material and as instructed by the executive(s). Assists office personnel in records management functions such as storage and shredding. Monitors and maintains the Corporation's electronic visitor's database. Prepares and submits monthly Reception desk report to executive(s).

Office / Supplies / Organization: Stocking, controlling and issuance of office supplies for c- suite executives. Maintains supply of DFC promotional materials for reception area and provides daily oversight of reception area (cleanliness, equipment/lighting functional, etc.)

Reservation / Set-Up: Schedule appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business detail. Reserves conference rooms and request facilities services. When required, prepares and/or makes requests for (a) official transportation within and outside Washington D.C. for executive (b) office/conference room reservations for visitors or other personnel.
