Our client is seeking a Product Specialist to support their product team's efforts in organizing and sharing system intelligence across the enterprise. This role will play a key role in designing and maintaining a SharePoint-based knowledge hub that distributes information about our applications, workflows, and stakeholders in a clear and intuitive way. You'll transform complex system documentation, process data, and operational assets into a structured, user-friendly experience that empowers teams to quickly find the context, contacts, and resources they need. From site design and taxonomy development to automation and content upkeep, your work will enhance how information flows across the ecosystem and strengthen alignment between product, engineering, and operations teams. This role is ideal for product-minded specialists with strong organizational and design instincts, curiosity about systems and workflows, and a desire to apply AI and automation to improve knowledge sharing at scale. This role is remote, commutable and you must live within the tristate area.



Key Responsibilities



Knowledge Hub Development & Maintenance




  • Design, build, and maintain a SharePoint site that centralizes information on systems, integrations, workflows, and stakeholder relationships.




  • Develop an intuitive information architecture and taxonomy that makes data easy to navigate, search, and understand.




  • Ensure information is accurate, well-structured, and consistently maintained.





UX/UI Design & Content Presentation




  • Independently design page layouts, templates, and visual hierarchies that enhance usability and readability.




  • Create and manage light visual assets - charts, icons, or diagrams - to communicate technical concepts simply.




  • Apply UX/UI best practices to improve user journeys and overall site experience.





Automation & AI Enablement




  • Build Slack workflows or Power Automate integrations that connect users to the right channels, forms, or contacts.




  • Leverage AI tools (e.g., Microsoft Copilot, ChatGPT) to assist with metadata tagging, content generation, and layout suggestions.




  • Explore opportunities to automate content updates, routing, or tagging to reduce manual effort.





Content Governance & Operational Support




  • Maintain reference libraries including release notes, release calendars, presentation templates, and project management standards.




  • Establish governance processes to ensure version control, freshness, and consistency of content.




  • Collect user feedback and site analytics to improve information discoverability and design.





Cross-Functional Collaboration




  • Work closely with Product Managers, Engineers, and Operations stakeholders to collect system data and documentation inputs.




  • Translate technical and operational knowledge into user-facing formats that support day-to-day decision making.




  • Support the team during product releases, training, and ongoing content refreshes.





Basic Qualifications




  • 1-2 years of experience in product operations, UX/content design, or knowledge management.




  • Hands-on experience designing or maintaining SharePoint, Confluence, or similar collaboration platforms.




  • Strong attention to detail and ability to organize complex data into structured, navigable systems.




  • Proficiency with productivity and visualization tools (e.g., Microsoft 365, Power BI, Canva, or Figma).




  • Excellent communication skills and ability to document processes and system details clearly.




  • Enthusiasm for learning product development practices and collaborating across technical and operational teams.





Preferred Qualifications




  • Understanding of information architecture, taxonomy, and metadata management principles.




  • Experience applying AI tools (Microsoft Copilot, ChatGPT, etc.) to accelerate documentation, tagging, or summarization.




  • Familiarity with workflow automation tools (Slack Workflow Builder, Power Automate, or Zapier).




  • Exposure to agile delivery environments and experience working within cross-functional squads.




  • Curiosity about system design, operational workflows, and content governance at scale.
