Job Summary

The Training Onboarding Coordinator is responsible for coordinating and delivering a consistent, engaging onboarding experience for all new hires. This role ensures that employees are welcomed into the organization with the tools, resources, and training needed to succeed. The Training Onboarding Coordinator partners with Human Capital, training teams, IT and department leaders to manage the end-to-end onboarding process, from the first week's orientation sessions to follow-up support, while maintaining compliance with organizational policies and standards.

Education & Experience

Required:

High School diploma or G.E.D.
be able to receive a favorable Interim and adjudicated final Department of Defense (DoD) background investigation
2 years of experience in onboarding, training coordination, or HR support
Proficient with MS Office - Teams, Excel, Outlook, PowerPoint and SharePoint
Strong organizational and time-management skills with attention to detail
Excellent communication and presentation skills, with the ability to engage diverse audiences
Ability to manage multiple priorities and deliver results in a fast-paced environment

Preferred:

Bachelor's degree in human resources, business administration, education, or related field preferred
Familiarity with HRIS systems, learning management systems (LMS), and virtual training platforms

Key Responsibilities

Manage onboarding logistics, including scheduling, communication, and preparation of materials.
Partner with Human Capital and hiring managers to align onboarding activities with organizational goals and departmental needs.
Collect and analyze feedback from new hires, hiring managers, and system owners to identify areas for improvement in the onboarding process, and collaborate cross-functionally to implement process enhancements.
Coordinate orientation sessions, ensuring a positive and consistent experience for all employees.
Manage the end-to-end process of provisioning system and application access for new employees, ensuring all tools required for their specific job roles are available by their start date.
Provide new hires with guidance on organizational policies, procedures, and available resources.
Ensure all required training modules, compliance courses, and documentation are completed within established timelines.
Collaborate with training delivery and instructional design teams to update onboarding content as needed.
Facilitate new hire orientation sessions as needed.
Perform other duties as assigned.

Empathy / Customer Service: Champions the end-user experience by ensuring employees are set up for success on day one. Maintains a service-oriented approach that balances operational requirements with empathy and support.

Independent Thinking / Self-Initiative: Develops and maintains standardized onboarding workflows and documentation. Continuously evaluates and improves provisioning processes to increase efficiency, compliance, and scalability.`

Organizational Skills: Effectively partners with HR, IT, Legal, Compliance, and business unit leaders to ensure alignment and accountability across the employee access lifecycle. Builds relationships to resolve bottlenecks and streamline communication.

Problem Solving / Analysis: Identifies issues and delays in onboarding processes through data analysis and stakeholder feedback. Proposes practical solutions to improve cycle time, reduce errors, and enhance the employee experience.

Technical Skills: Understands enterprise systems architecture and the requirements for provisioning user access to applications and platforms across departments. Able to work with IT, security, and system owners to navigate access protocols and ensure timely system availability.
