IT Program Analyst

Location: Downtown Charlotte. Job Type: Full-Time - on-site 4 days a week, remote option for 1 day

Position Summary

We are seeking a experienced IT program analyst, PMO analyst, or project manager to manage the budgets, schedules, and status reporting for a collection of strategic initiatives/projects in a complex portfolio. Budget work will focus on planned vs actual costs and sustaining an accurate view of costs. Schedule work will include consolidation of project schedules into program level views, and overall integration of status reporting for executive oversight. This role will engage with and coach delivery leaders from each project who have varying levels of experience and time to spend on budget tracking. Must have tact and a sense of urgency to get the job done while maintaining positive relationships.

Deliverables

Financial template for each initiative team to track their planned and actual project costs, by resource and month.

Create and operate a process for financial management and control, including monthly actuals, planned, and reconciliation/resolution of discrepancies by cost type by initiative.

Track resource allocations, vendor costs, cost sharing and charge back assumptions across each project and into the portfolio, using the data developed with the different project leads.

Sustain & assess EAC, ETC, and contingency for each initiative and the portfolio, which may include multiple sub projects, and the consolidated portfolio.

Consolidated and executive friendly views of schedules and progress.

Key Responsibilities

Establish and own a portfolio of project budgets, including tools, processes, and a standard cadence, with a focus on easy to follow processes in Microsoft Excel.

Establish, track, and deliver Planned vs Actual project costs for all projects, and the program, each month. Costs would include internal resources, external vendors, SW costs reconciled to project schedules (which are dynamic).

Actively resolve forecast variances and cost posting discrepancies to ensure accuracy of overall program financials, sharing data with Finance and our IT Finance team.

Create and sustain a series of consolidated schedules for executive and status reporting, synchronizing with each project team as needed.

Support multiple status updates per month at different levels for the portfolio, based on data from previous updates and new information from each project team, in a dynamic environment.

Support tracking of cross project dependencies and issues.

Support process improvement and metrics as we mature our budgeting & forecasting practices.

Qualifications
  • Bachelor's degree in Business, Technology, Finance, or related field.
  • 8+ years of project/program management experience in IT.
  • Advanced excel and financial modeling skills, including pivot tables and graphing.
  • Clear communication and strong organizational skills. Organized with a high attention to detail.
  • Experience managing more than 5 separate project budgets rolling into a program or portfolio view, with total budget exceeding $10m per calendar year.
  • Experience using financial systems of record and their data/reports to drive analysis and reconciliation against sources of truth.
  • Skilled at navigating different cost types (internal labor, external labor, SW licenses)
  • Experience with assembling IT project portfolio or PMO reporting including project status and schedules, solid visualization and PowerPoint skills.

Adept at managing multiple priorities and dozens of stakeholders, able to hit monthly deadlines on time and consistency.
  • Appetite for organizational and process change and improvement, facilitate adoption of new processes & tools, tolerance for ambiguity.
