Job Summary:

Legal/Lawyer/Paralegal Consultant will support high-level executives in both administrative and legal capacities, leveraging paralegal training and experience. This role will involve managing executive schedules, handling confidential information, preparing legal documents, and assisting with legal compliance and research. The ideal candidate will be highly organized, detail-oriented, and able to navigate both administrative duties and legal matters in a fast-paced environment.

Key Responsibilities:

Administrative Support:

  • Calendar Management: Coordinate and schedule meetings, appointments, and travel for executives, ensuring effective time management.
  • Correspondence: Draft, proofread, and send professional communications (emails, memos, reports) on behalf of executives.
  • Document Management: Maintain and organize files, documents, and records, ensuring proper handling and storage, both physical and digital.
  • Meeting Support: Prepare agendas, take minutes, and follow up on action items.
  • Office Management: Oversee daily office operations, ensuring smooth functioning, ordering supplies, and maintaining office equipment.
  • Travel Arrangements: Book flights, hotels, and car services for executives, managing travel logistics efficiently.

Legal Support:

  • Document Preparation: Assist with the drafting, review, and editing of legal documents, including contracts, non-disclosure agreements (NDAs), pleadings, and other corporate or litigation materials.
  • Legal Research: Conduct legal research for ongoing cases, business matters, and regulatory compliance, providing concise summaries for executives.
  • Compliance: Monitor regulatory changes and ensure that the organization stays in compliance with state and federal laws, especially concerning contracts and corporate governance.
  • Case Management: Assist legal teams in organizing case files, maintaining tracking systems, and preparing discovery documents or responses.
  • Confidentiality: Handle sensitive legal and business information with the utmost confidentiality and integrity.

Paralegal-Specific Tasks:

  • Legal Filings: Manage the filing of documents with courts and governmental agencies, including electronic filings, ensuring deadlines are met.
  • Client Interaction: Serve as a liaison between legal teams and clients, assisting with communication and document collection.
  • Preparation of Legal Forms: Prepare standard legal forms and contracts as needed, working closely with the legal department.
  • Due Diligence: Assist with corporate transactions by collecting and reviewing documents for mergers, acquisitions, or other business activities.

Qualifications:

Education:

  • Bachelor s degree or equivalent experience.
  • Paralegal certification from an accredited program is required.

Experience:

  • 3-5 years of experience as an Executive Assistant, preferably in a legal or corporate environment.
  • 2+ years of hands-on experience as a paralegal or legal assistant.

Skills & Abilities:

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), legal research tools (LexisNexis, Westlaw), and case management software.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Familiarity with New Jersey legal regulations and business laws.
  • Strong attention to detail and ability to maintain confidentiality.

Preferred Qualifications:

  • Experience working in a law firm, corporate legal department, or related field.
  • Knowledge of litigation support, contract law, and compliance issues.
  • Experience with document management systems and legal filing procedures.

Work Environment:

  • This position typically works in an office setting with occasional travel.
  • Must be able to manage a high volume of work under tight deadlines.
