JOB SUMMARY: Reporting to the Director of Engineering (DOE), the Department Manager (DM) represents the company in such a way that embodies the company's values and beliefs. The DM is an effective communicator who builds and retains quality relationships with team members and clients. The DM is counted on providing leadership within the company and encourages those same qualities in another team member.
The DM and the team members work together to ensure the team member's development and job satisfaction. The DM verifies that each team member in their department has the training and resources necessary to carry out their responsibilities and achieve their goals.
All DM's work as a team to review and evaluate resource needs across all disciplines. The DM collaborates with the Best Practices to determine the best resource assignments for projects based on availability of the resource(s) and the best overall direction for the company and the team member's career objectives.

Resource Hiring:
- Evaluate Department forecast and make recommendations to the DOE when additional resources are needed.
- Define role descriptions specific to the discipline.
- Evaluate the need for a direct hire vs contracted resource
- Evaluate resumes as they are received for potential department fit.
- Interview with potential new resources.
New Team member Orientation:
- Utilizing department specific onboarding processes, informing new team members of our policies, procedures and expectations as a company.
- Work with discipline specific Best Practices to assist with on-the-job training and communicating discipline specific standards.
Team member Administration:
- Know and understand the team member's goals, objectives and career interests.
- Develop a team member specific Career Development Growth Plan to aid the team members in obtaining their goals, objectives and career interest(s).
- Inspire and encourage team members to succeed with honest and positive feedback.
- Collaborate with Best Practices to make sure the team member has a good path forward with his/her career development goals.
- Recognize and reward team member accomplishments.
- Demonstrate a genuine interest in the team member's well-being and develop a relationship of trust with the team members.
- Encourage good team member relations and assist in resolving team member conflicts.
- Provide input to the DOE for annual compensation planning.
- Maintain awareness of and coordinate PTO and leaves of absence schedules.
- Accountable for forecasting of all PTO and leaves of absence.
- Approve team member time sheets (overhead hours), expense reports, and all overtime.
- Review and approve all team member general administration time. Work with Best Practices to have the best practice initiatives available to be executed in case of unplanned project work stoppage or delays.
- Submit team member training requests complete with costs and hours to the DOE for approval.
- Working with your Best Practices to determine tools and equipment necessary for team members to perform assignments.
- Assist in keeping on-site/embedded team member current of company activities and news.
- Perform One-on-Ones monthly and provide team member regular feedback regarding performance.
- Conduct formal team member Performance Appraisal annually.
Team member Terminations:
- Identify team members with poor performance and inform / seek guidance from Human Resources if necessary.
- Develop and document a corrective action plan and discuss with identified team members (training, new assignment, work habits, etc.).
- Continually monitor progress of team members with corrective action plan and provide feedback to identified team members. Seek guidance from Human Resources if necessary.
- If necessary, begin team member termination discussions in conjunction with the DOE and Human Resources.
Project Responsibilities:
- Assign a Discipline Lead (DL) to begin the SDA document and project fee estimate process.
- Review and approve all engineering and design SDA's and project fee estimates for the department.
- Host weekly Forecast Meetings with DL's and revise project assignments as necessary.
- Collaborate weekly with all DL's on budgets and schedules for all the projects in the department.
- It is the responsibility of the DL to notify the DM of all potential project budget and/or project schedule issues. It is the responsibility of the DM to notify the DOE of all potential project budget and/or project schedule issues.
- Verifying all packages are checked prior to issuance. The DM is accountable for the technical quality of work in the department. The DL is responsible for the technical quality of work for the project.
- DM works closely with the BPL to develop Discipline Specific Project Checklists.
Marketing / Sales:
- Assist the Sales / Marketing Department in preparation of marketing documents like resumes and prior experience.
QUALIFICATIONS:
- Good interpersonal communication (verbal and written) skills.
- Strong organizational, prioritization and time management skills to handle multiple tasks and various situations in a fast-paced environment.

EDUCATION/EXPERIENCE:
- Required - minimum four (4) year degree in Architecture with RA License
- Preferred - NCARB
SOFTWARE:
- Advanced knowledge of Microsoft Word, Excel, Outlook, Access and PowerPoint.
- Fundamental experience with Microsoft Project.
- Preferred - Deltek Accounting System experience.
WORKING CONDITIONS:
Working Hours/Environment
- Hours average 40 per week; it may require additional hours including evening and weekends depending on business needs.
- Work typically performed in an indoor office setting/client site.
Travel: Example: Some travel will be required
Physical Demands:
- Frequently required to sit at a desk/workstation for long period of time.
- Ability to work at a computer terminal for extended periods of time.
- Light Lifting to 20 lbs.
- Ability to speak to and hear team members/clients via phone or in person.
- Body motor skills are sufficient to enable unencumbered movement around an office environment.
- Ability to analyze unique situations and develop appropriate response.
