Role Description:

About the Role:

  • We are looking for a highly organized and proactive Program Coordinator to support the successful execution of a multi-year IT-OT (Transformation Operations & Technology) Program for a major enterprise client. This individual will work closely with the Program Manager and cross-functional teams to enable program governance, tracking, reporting, and cross-team coordination.
  • This position plays a critical role in driving the Unified Financial Foundation, Integrated Operations & Data, and Scalability & Compliance outcomes by ensuring all program activities are well-planned, monitored, and communicated.

Key Responsibilities:

Program Support & Coordination:

  • Coordinate and track key program milestones, timelines, and deliverables.
  • Maintain program documentation, action logs, RAID logs (Risks, Assumptions, Issues, Dependencies), and dashboards.
  • Support meeting scheduling, agenda setting, note-taking, and follow-up on action items.

Communication & Reporting:

  • Develop and maintain regular status updates, reports, and executive summaries.
  • Ensure timely communication between program stakeholders across business, finance, and IT.
  • Support the creation of program presentations and materials for leadership and steering committees.

Financial & Operational Transformation Enablement:

  • Assist in monitoring project activities related to finance systems, operations integration, and compliance readiness.
  • Support initiatives to eliminate manual processes, improve data quality, and align to audit/compliance standards.

Tools & Process Administration:

  • Manage program tools such as SharePoint, Smartsheet, MS Project, or Jira for collaboration and tracking.
  • Assist in standardizing templates, workflows, and documentation practices across workstreams.

Cross-Team Collaboration:

  • Act as a liaison between functional and technical teams, ensuring smooth handoffs and coordination.
  • Help surface issues or delays early to the Program Manager and track remediation plans.

Qualifications:

  • 10+ years of experience in a Program/Project Coordination or PMO role within complex enterprise programs.
  • Experience working in transformation initiatives related to Finance, ERP, Data, or Compliance is highly desirable.
  • Strong organizational and time management skills, with attention to detail and ability to multitask across priorities.
  • Proficiency in collaboration and tracking tools (e.g., MS Office Suite, SharePoint, Smartsheet, Confluence, or similar).
  • Excellent written and verbal communication skills with the ability to create clear reports and presentations.
  • Familiarity with SOX, SEC, or other compliance environments is a plus.
  • Experience working in a matrixed environment with global stakeholders is an advantage.

Preferred Skills:

  • Familiarity with ERP systems (e.g., Oracle, SAP, Workday Financials) and transformation lifecycles.
  • Exposure to agile or hybrid delivery models.
  • Experience supporting cross-functional teams (Finance, IT, Compliance, Operations).
  • PMP or CAPM certification (nice to have).
