Job Title: Senior Administrative Assistant
Location: Piscataway, NJ (Hybrid - 3 days Onsite)
Duration: 8+ Months Contract

Key Responsibilities
Specific duties include, but are not limited to:

  • Partnering with volunteers to ensure timely and effective delivery of programs in the education portfolio including multiple annual Circuit Insights events, the annual Arduino Contest, Distinguished Lectures, monthly webinars, and an annual student circuit-design contest.
  • Partnering with society admins to ensure recorded educational assets are posted to the proper platforms (YouTube and/or Resource Center.)
  • Supporting the Conferences Committee with data gathering, interpretation, and reporting, and meeting organization/facilitation inside and outside of the regular pre-AdCom schedule. Examples of the latter include checkpoints on the society's financially and technically co-sponsored portfolios, which can take place several times annually.
  • Supporting Technical Committee activities, including but not limited to chipathons and workshops. Partner with marketing to publicize involvement in Engineering Projects in Community Service (EPICS.)
  • Supporting the Nominations Committee in its annual cycle of selecting candidates for SSCS Member-at-Large positions and passing the selections to the Elections team.
  • Supporting the SSCS Vice President, who heads our CCI efforts, by tracking SSCS member participation in CCIs, maintaining a dashboard with Memoranda of Understanding (MoUs), organizing meetings including reporting on/tracking deliverables, and sharing new opportunities for collaborating with these entities.
  • Supporting the SSCS Fellow Search Committee and the Student Engagement Ad Hoc, including by generating reports as requested by the chair, and organizing meetings and reporting on/tracking deliverables.
  • Organizing pre-AdCom meetings for the Education Committee, the Conferences Committee, the Technical Committees, and CCI. Ensure all presentations are delivered in a timely manner for review by committee members prior to the meeting, know quorum requirements for each supported committee, ensure meeting records are made available to invitees prior to the main AdCom meeting, and coordinate with the Executive Director on motions that must be brought to AdCom.
  • Other tasks as assigned by the Executive Director including, but not limited to, additional ad-hoc committee support

Education
  • Bachelor's degree or equivalent experience Req

Work Experience
  • 2-4 years Business experience working in a communications, non-profit governance support, business administrative, science technology, conference or project management position Req
  • Previous experience working with volunteer leadership-based organizations Pref
  • Previous experience working with Roberts Rules of Order, bylaws, policies, and constitutionally based organization structures Pref

Skills and Requirements
  • Must be capable of developing efficient business processes and examining existing processes for cost and time efficiencies.
  • Must have a proven ability to work with technical societies and councils.
  • This is equivalent to working across departments and job function in a corporate setting.
  • Excellent written and verbal communication skills to support marketing and program management, publications, new initiative proposal development, vendor management, tracking, and reporting
  • Excellent interpersonal skills and organizational abilities.
  • Must be able to manage several different projects at once, maintain focus and prioritize tasks to complete goals within set timeframes.
  • Must be able to adapt as the landscape within this position changes based on needs of the business.
  • Must be a technologically savvy contributor who applies the benefits of technology to his or her work environment, keeps abreast of current technologies within the engineering and scientific community, and provides assistance whenever necessary during volunteer events.
  • Must have or have the ability to understand the systems *** uses to deploy its intellectual property.
  • Must be able to utilize web conference tools and technologies related to virtual presentations and be familiar with the Microsoft and Google suites, and Smartsheets.
  • Demonstrated effective email communications and use of the Internet for research and communication, plus a regular user of large databases such as those used for association management or meeting registration
  • Ability to work with financial data; must understand basic budgeting and accounting practices including but not limited to financial statements, balance sheets, invoices, and service agreements
