Job Details

This role is primarily responsible for project coordination, task tracking, and timeline management, ensuring deliverables are met and stakeholders remain accountable. Secondary responsibilities include light executive support such as calendar management and email coordination. The ideal candidate excels in fast-paced environments, drives task completion, and supports smooth project execution.

Requirements

  • Maintain and monitor project plans, action items, and task lists to ensure timely completion of deliverables
  • Track progress across multiple workstreams, proactively following up on outstanding tasks and dependencies
  • Gather, document, and clarify business requirements from stakeholders to support effective planning and execution
  • Develop and maintain process documentation, workflows, and checklists to drive consistency and transparency
  • Manage and update Kanban boards (or similar project management tools) to ensure visibility of priorities, timelines, and blockers
  • Prepare status reports, dashboards, and meeting materials such as agendas and follow-up documentation
  • Coordinate with cross-functional teams to facilitate smooth handoffs, resolve issues, and keep activities aligned with deadlines
  • Identify process bottlenecks and recommend improvements to increase operational efficiency.
  • Manage executive calendars, schedule meetings, and coordinate logistics
  • Monitor and prioritize incoming emails for leadership, flagging urgent items and drafting responses when appropriate
  • Serve as a point of contact between executives and internal/external stakeholders to ensure timely communication and follow-through

Required Qualifications:

  • Active (or interim) Secret clearance
  • 4+ years of experience in project coordination, business analysis, or a similar role, with a demonstrated ability to keep projects on track and aligned with goals
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project/task management tools such as Kanban boards, Trello, Jira, or Microsoft Project
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong written and verbal communication skills, with the ability to engage effectively with both technical and non-technical stakeholders
  • Proven experience in gathering requirements, documenting business needs, and creating process maps or workflow documentation
  • Confident in holding team members accountable and following up to ensure timely completion of tasks
  • Ability to handle sensitive information with a high level of professionalism, discretion, and confidentiality

Bonus Qualifications:

  • Experience with Agile or Kanban methodologies
  • Familiarity with data visualization tools (Power BI, Tableau)
  • Background in process improvement and workflow optimization
  • Federal government or contracting experience
