THERE ARE TWO POSITIONS
JOB SUMMARY:
Oversees the day-to-day administration and improvement of departmental/divisional system applications with a focus on the division or department's business domain, and the computer applications/systems used by that unit, e.g., InfoEd electronic Research Administration Portal. This position administers electronic Research Administration (eRA) modules or systems and other divisional research information tools and the office process and workflow associated with these resources; responds to regular concerns and challenges with administrative or system workflows; serves as the functional liaison between departmental stakeholders and IT staff and/or vendors; assesses business processes and determines areas of improvement; ensures technical solutions meet business needs and performs other related duties as needed.

Supervises assigned staff and participates as a team project leader when necessary.

Schedule: 40 hours per week, Mon - Fri, 8:00 a.m. - 5:00 p.m. with a 60-minute unpaid meal break
EXAMPLES OF DUTIES:
- Administers a web-based application or research information system and the office processes and workflow associated with the system.
- Identifies, gathers, analyzes and documents business requirements and processes for computer applications and information technology projects.
- Translates work processes into business and functional system requirements.
- Maintains an understanding of the business and its processes.
- Responds to regular concerns and challenges with administrative or system workflows.
- Acts as the liaison, bridge or translator between departmental functional stakeholders and IT staff and/or vendors to help understand issues and develop technology-based business solutions.
- Assesses business processes and determines areas of improvement.
- Identifies and validates the key business requirements.
- Writes business and functional system specifications.
- Leads and coordinates cross-functional business process teams and continuous improvement efforts.
- Coordinates the development and configuration of the information system (including forms and templates), ensuring it meets the needs of the business unit.
- Assists in the re-engineering of information systems by developing specifications for system modifications and enhancements and tests prior to implementation.
- Develop test and implementation plans.
- Prepares and delivers training related to systems implementation and upgrades
- Prepares user documentation including training manuals, procedures and guides.
- Plans, coordinates and conducts workshops and training classes related to the system.
Conducts audits to ensure that the system and procedures are properly implemented and maintained over time. - Provides post-go live support to end users reported to the Research IT Help Desk. Documents the solutions to support cases and increases the knowledge base in the ticketing system.
- Identifies and analyzes system problems and recommends opportunities for resolving business problems using technology.
- Monitors IT project and provides progress reports to team members and management. Make recommendations on alternative actions to meet project timelines.
- Participates in update meetings and makes presentations.
- Maintains strong interpersonal communication, problem solving and analytical skills to provide support and encouragement to an organization undergoing change.
- Leads and directs the work and activities of any assigned staff.
- Performs other related duties as required.
MINIMUM QUALIFICATIONS REQUIRED:
KNOWLEDGE, SKILLS & ABILITY:
- Considerable knowledge of principles and techniques of systems analysis, design and development.
- Considerable knowledge of the principles of information technology solutions.
- Strong knowledge of relational databases technology and computer systems related to business applications.
- Strong knowledge of principles and theories of business and planning functions.
- Considerable knowledge of the principles and techniques of business information systems re-engineering.
- Considerable experience in project management.
- Strong analytical skills and ability to interpret technical data. Ability to communicate effectively, orally and in writing, in person and online to interact with users at all organizational levels.
- Strong interpersonal skills.
- Understanding and ability to apply rules, regulations, codes and laws pertaining to business.
- Ability to work independently and function as both a leader and member of a team.
EXPERIENCE AND TRAINING
General Experience:
Nine (9) years relevant experience, may include business administration, medical administration, clinical information systems planning, project management, installation or support.
Substitution Allowed:
Bachelor's degree in Healthcare Administration, Business, Research Administration or closely related field may be substituted for four (4) years of the general experience.
Preferred Qualifications:
- International Institute of Business AnalysisTM (IIBA ) or related Business Analyst certification highly preferred.
- Previous work with research administration software, workflows, or vendor applications.
- Research administration and/or project management certifications.
- Experience in higher education or healthcare.
- Experience supporting web-based client-server applications/systems.
- Experience in information technology, management of information systems, computer science and/or systems engineering, informatics or clinical information systems planning and support.
- Knowledge of NIST SP 800-171.
- Experience with using the InfoEd eRA portal.
