Works independently performing a wide range of complex and confidential administrative and clerical duties to support program/event/forum/business unit. Communicates with and provides services to a wide range of internal and external contacts. Anticipates and resolves problems; updates supervisor on status of projects. May oversee work of support staff, casuals and temps.

oGain in-depth knowledge of oilfield products and operations.

Ensure proper receipt of materials/tools and maintain accurate import, inventory, and inspection documentation.

Oversee equipment maintenance and storage at supply bases and client locations, coordinating with mechanics for upkeep and repair.

Plan mobilization of tools to rigs/drilling units per customer requirements, ensuring all items have valid inspection certificates.

Inspect tools upon return from drilling units, document condition, and arrange timely dispatch of damaged tools to machine shops with appropriate paperwork.

Assist in assembly/disassembly of rental tools and coordinate the safe loading/unloading of equipment baskets.

Maintain accurate job history, inventory records, and monthly utilization reports, obtaining client sign-off promptly.

Implement and monitor inventory control systems (e.g., tag system, cardex, or Excel tracking).

Attend daily shore base meetings and update superiors on day-to-day activities.

Provide administrative and operational support, including drafting correspondence, preparing reports, managing records, and ensuring compliance with applicable regulations.

Organize and coordinate meetings, events, and training sessions, managing facilities, AV, catering, and related logistics within assigned budgets.

Monitor and reconcile budgets, prepare expenditure recommendations, and support grant proposal preparation.

Liaise with external stakeholders (e.g., other programs, universities, government agencies) to share relevant information.

Assist in onboarding, training, scheduling, and assigning work to staff or temporary workers.

Serve as IT point of contact for the department, maintaining program webpages and ensuring updated communications.

Perform other related duties as assigned to meet departmental and operational goals.
