This opportunity supports a health insurance marketplace platform that serves residents across Massachusetts by allowing individuals to determine eligibility, compare plans, and enroll in both subsidized and non-subsidized insurance. The program team is dedicated to maintaining a best-in-class system that aligns with federal ACA standards, adapts to evolving regulations, and provides a seamless and user-friendly experience.


About the Role

The IT team supporting the state s Health Insurance Exchange (HIX) is seeking a Project Coordinator. This is a high-visibility, junior-level administrative position working closely with the Executive Leadership Team (XLT) and reporting directly to the HR & Office Manager.

Candidates should have strong organizational skills, experience in administrative functions like calendar and meeting management, and be capable of creating polished presentations. The position is ideal for someone looking for long-term contract stability, with opportunities for growth previous individuals in this role have been promoted within the project.


Key Responsibilities

  • Provide administrative support to ensure smooth operations of the HIX Project

  • Coordinate meetings, manage calendars, and maintain updated invite/attendee lists

  • Create professional PowerPoint presentations for executive-level use

  • Document and distribute meeting minutes and action items; upload upon approval

  • Collaborate with both technical and non-technical teams to address issues

  • Submit and follow up on facilities and IT helpdesk tickets

  • Manage and maintain email distribution lists

  • Support the HR/administrative team as needed through cross-training

  • Maintain confidentiality and adhere to all relevant policies and standards

  • Proactively engage with leadership to take on new tasks and contribute to the project

  • Available to work Monday Friday from 8:30 AM 4:30 PM or 9:00 AM 5:00 PM


Preferred Qualifications

  • Bachelor s degree or equivalent experience

  • 3+ years in an administrative role, with up to 3 years in project coordination

  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Ability to multitask and adapt to changing priorities in a fast-paced environment

  • Strong interpersonal, communication, and organizational skills

  • Comfortable speaking during team meetings

  • Experience with OneDrive, SharePoint, MS Project, Visio, JIRA, or Adobe is a plus

  • Team player with a positive attitude and strong sense of humor
