Title: Admin Assistant - Part Time
Location: Onsite in Tewksbury, MA
Duration: 2 Months with possibility of extension based on demand

Hours of work/work schedule/flex-time:
Part-time with occasional requirements to work late to meet deadlines
3-4 days in the office. 18-24 hours per week. (Approximately 6-8 hours per day)
2 months anticipated assignment

Interview Process:
First-round video interview (30 minutes)
Second-round onsite interview (30 minutes)

Scope of Position:
In this role, you will work with business, sales and scientific subject matter expert internal clients and internal/external designers to traffic marketing projects, including coordinating project initiations/reviews/approvals of marketing communications materials. In this role you may be asked to handle additional marcom project management or administrative tasks.

Day to Day Responsibilities:
Works with the cross-functional teams coordinating project initiation/review/approvals of product information sheets, application notes, infographics, videos, e-books and other marketing materials
Leads the bi-weekly production meetings (status of projects)
Track projects and manage scheduling conflicts and bottlenecks with key stakeholders.
Coordinates with the internal design teams and video producer as well as external freelance graphic designers on outsourced projects.
Works with relevant tradeshow stakeholders to ensure leads are put into the SalesForce.com database in a timely manner for lead generation follow up.
Brand Compliance: Ensure all campaign marketing communications are following client and CLS Brand guidelines for trademarking; consulting with Project Coordinator as necessary.
Will handle the general email box and disperse accordingly.

Education:
HS Diploma or Associate's degree with relevant experience.

Required Years and Area of Experience:
Minimum 2-3+ years' experience in a project manager or traffic coordinator role, experience in life sciences industry or medical device a plus.

Required Skills:
2-3+ years Project/traffic coordination experience.
Proficient in Excel, Word, Adobe, MS Office (Outlook); Sharepoint, SalesForce.com.
Strong communication skills with multiple stakeholders, collaboration with global team, detail oriented. Ability to ask clarification questions to confirm process.
Good business judgment and the ability to work independently, in a fast-paced environment, adhere/meet deadlines.
The ability to work and coordinate with external vendors/designers.
Ability to provide feedback.
