ONSITE San Francisco. In office 5x a week
IT Inventory Specialist

About the role
We're seeking a detail-oriented IT Hardware & Inventory Management contractor to join our IT Operations team and ensure our rapidly growing organization has the technology resources needed to succeed. In this role, you'll own the complete lifecycle of our technology equipment-from strategic procurement through deployment, maintenance, and asset recovery. You'll be instrumental in maintaining operational efficiency and directly impact the productivity of teams across our organization.
This contractor position requires on-site presence in our San Francisco office with occasional travel to distributed locations as needed.

Responsibilities
Procurement & Vendor Management
Order and procure IT equipment from approved vendors (SHI, Amazon, and third-party suppliers), including standard peripherals and specialized ergonomic devices
Research and evaluate emerging peripheral technologies to enhance our technology stack Maintain strategic relationships with key technology vendors
Review and approve vendor invoices through our procurement systems
Proactively manage inventory levels to ensure adequate stock of laptops and peripherals

Inventory & Asset Management
Receive, catalog, and organize incoming equipment shipments in our inventory management system
Maintain organized storage facilities with proper shelving and accessibility
Stock peripherals across multiple office floors to ensure team accessibility
Track inventory levels and provide regular status updates to management
Partner with the IT Operations team to ensure transparent and fully managed hardware operations
Maintain comprehensive asset tracking documentation and databases

Equipment Deployment & Support
Process support tickets and fulfill equipment requests efficiently
Coordinate shipping logistics for device distribution to remote team members
Provide desk setup support and troubleshoot connectivity issues
Source and coordinate ergonomic solutions (monitor arms, desk accessories) with facilities team
Prepare Mac devices with necessary software updates before deployment
Support distributed offices with equipment needs as required

Repairs & Lifecycle Management
Schedule and coordinate repairs with Apple and other vendors for damaged devices
Manage repair ticket tracking, follow-up, and warranty claims
Receive and process returned equipment from departing team members
Clean, reset, and prepare devices for redeployment or disposal
Assess equipment condition to determine repair vs. replacement decisions
Ensure all equipment meets company standards before redistribution

Reporting & Documentation
Utilize tracking systems and dashboards (including Looker Studio) to monitor inventory and requests
Provide regular reports on inventory status, equipment lifecycle, and procurement needs
Document all asset movements and maintain chain of custody records
Track repair status and warranty information for all devices

You may be a good fit if you have
Proven experience with IT hardware and inventory management systems
Strong organizational skills with the ability to manage complex logistics
Physical capability to lift and transport equipment (up to 50 lbs)
Hands-on experience with Mac hardware and software environments
Exceptional attention to detail and documentation practices
Excellent communication and customer service skills
Ability to work independently while managing multiple priorities
Experience with procurement processes and vendor management

Strong candidates may also have
Experience with enterprise inventory management systems
Knowledge of Apple's business repair processes and warranty procedures
Familiarity with shipping/receiving procedures and logistics coordination
Basic troubleshooting skills for computer peripherals and connectivity issues
Experience working in fast-paced, high-growth technology environments
Background in IT asset lifecycle management and compliance
