Operations & Office Administrator
Overview:
AMSYS Innovative Solutions is looking for an organized, hands-on Operations & Office Administrator to support our daily operations, light accounting functions, travel arrangements, and internal coordination efforts. This role is perfect for someone who thrives in a fast-paced technology and services environment and enjoys wearing multiple hats.
You'll play a central role in keeping the office running smoothly-handling everything from vendor invoicing and QuickBooks entries to travel bookings, office event planning, and managing supplies. This position touches on operations, accounting, people coordination, and office culture support.
Key Responsibilities:
- Manage daily office operations including front desk coordination, scheduling, and general upkeep.
- Book and coordinate all company travel arrangements (flights, hotels, ground transport), including price shopping for best value.
- Maintain and monitor office and kitchen supply inventories; manage restocking and vendor relationships.
- Plan and coordinate office events, team-building activities, and birthday or milestone announcements.
- Order company uniforms and handle embroidery coordination for staff.
- Procure branded merchandise and company swag for trade shows, conventions, and internal use.
- Assist with vendor invoicing, internal purchasing, and data entry in QuickBooks Online.
- Support the Finance team with reconciliations, payment tracking, and month-end close activities.
- Monitor and track time entries or hours for consultants/internal teams to assist with payroll or client billing.
- Utilize ConnectWise for ticket logging, purchase orders, and approval workflows.
- Maintain documentation in IT Glue, including SOPs, vendor details, and internal processes.
- Support employee onboarding/offboarding logistics, including workspace setup, license assignments, and orientation tasks.
Qualifications:
- 5+ years of experience in office administration, operations, or accounting support roles.
- Proficient in QuickBooks Online, with strong knowledge of AP/AR, invoice processing, and account reconciliation.
- Excellent multitasking and organizational skills with a proactive and service-oriented mindset.
- Strong written and verbal communication skills across all levels of the organization.
- Experience or willingness to learn operational tools such as ConnectWise and IT Glue.
Nice to Have:
- Prior experience in a Managed Service Provider (MSP), IT services, or professional services setting.
- Associate's or Bachelor's degree in Business Administration, Accounting, or a related field.
