Intellectual Property Legal Assistant

We are seeking an experienced Intellectual Property (IP) Legal Assistant to join our dynamic and fast-paced prosecution practice. This position offers the flexibility and provides the opportunity to support a growing team of attorneys and professionals dedicated to excellence in client service.

Key Responsibilities

  • Support the management and maintenance of the firm s IP docketing system.
  • Prepare, review, and file patent and trademark documents with the U.S. Patent and Trademark Office (USPTO).
  • Coordinate conflict checks and assists with opening new client matters.
  • Communicate with attorneys, clients, and staff regarding case updates, deadlines, and inquiries.
  • Handle administrative and organizational tasks for the IP group, including scheduling and calendar management.
  • Draft, proofread, and finalize correspondence, filings, and other IP-related documents.
  • Ensure timely and accurate filing of all submissions and documentation.
  • Assist with client billing, time entry, and related administrative processes.
  • Organize meetings, maintain team schedules, and arrange conference logistics.
  • Perform additional responsibilities as assigned to support attorneys and the broader team.

Preferred Qualifications

  • Minimum of 3 5 years of experience in intellectual property law and administrative support.
  • Associate s degree or equivalent combination of education and experience.
  • Familiarity with U.S. and international patent filing requirements.
  • Strong attention to detail, time management, and organizational abilities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated professionalism, discretion, and sound judgment.
  • Ability to manage multiple priorities and support several attorneys simultaneously.
  • Proficiency with Microsoft Office Suite and excellent spelling and grammar skills.
  • Experience with the USPTO systems and familiarity with CPI or similar docketing software preferred.
  • Ability to learn and adapt to proprietary or practice-specific technology tools.
  • Consistent demonstration of teamwork, professionalism, and independent problem-solving.
  • Flexibility to work overtime as needed to meet deadlines and client expectations.
