Systems Data Administrator 

We are seeking a highly organized and forward-thinking Systems Data Administrator to lead the development, implementation, and ongoing management of our maintenance software infrastructure. This role partners closely with the Facility Maintenance Manager to ensure comprehensive data capture, structured asset relationships, and optimized scheduling of maintenance across a diverse range of operational assets, including trailers, tanks, pumps, motors, facility components, and aviation equipment. Additionally, this role ensures accurate documentation uploads, including OEM manuals, design schematics, and maintenance reports.

<>Key Responsibilities</>

  • Partner with the Facility Maintenance Manager to build and maintain a robust preventive maintenance (PM) program.

  • Design and configure a CMS system aligned with the vehicle maintenance protocols within Enterprise Asset Management (EAM).

  • Maintain asset records, work order histories, commissioning data, and scheduling within VMS/EAM platforms.

  • Produce recurring reports detailing pending maintenance tasks, ensuring transparency and team accountability.

  • Coordinate with field teams and external vendors to align maintenance execution with operational needs.

  • Monitor and document regulatory compliance, including AVIR, tank inspections, and 49 CFR 180.416 trailer inspections.

  • Support procurement and supply chain logistics for maintenance-related parts and services.

  • Analyze asset data to identify process optimization opportunities and cost-saving measures.

  • Develop user guides for system operations to support onboarding and training of new team members.

<>Qualifications</>

  • 5-7 years experience

  • Demonstrated experience in asset management, maintenance coordination, or administrative support in an industrial or technical environment.

  • Proficiency in Enterprise Asset Management platforms such as Maximo, SAP PM, or Infor EAM.

  • Strong working knowledge of maintenance management tools, reporting interfaces, and XML data outputs.

  • Excellent communication and organizational skills with the ability to balance multiple priorities.

  • Skilled in Microsoft Office and other data-centric platforms.

  • Familiarity with equipment maintenance regulations is an advantage.
