We are looking for an Onsite Logistics Coordinator to join our growing team in Fremont, CA United States!

 

We are looking for an Onsite Logistics Coordinator to support AI Data Services initiatives and contribute to the development of VR and AR products. The focus of AI Data Services is to capture various types of data relating to humans, speech, and environments to enable quality Artificial Intelligence and Machine Learning algorithms.


This person will be primarily responsible for managing the front desk by greeting participants for user studies and maintaining a welcoming environment. Secondary responsibilities include participant outreach, scheduling participants for our user studies, and supporting the logistics of the data collection process. The ideal candidate will have a strong blend of customer service, front desk experience, and technology skills.

 

Responsibilities:

  • Logistics operations: Managing participant intake, coordinating project & participants schedules (and their relationship), navigating fast-paced scheduling changes.
  • Assist participants with intake, including signing NDAs, and answering questions.
  • Participant outreach and scheduling.
  • Maintain a welcoming environment and ensure smooth participant flow during intake and wrap-up.
  • Assist with environmental logistics by ensuring they are properly staged and adjust lighting or other elements as needed.
  • Respond swiftly to project updates and changes.
  • Provide feedback to operations lead on participant flow improvements.
  • Troubleshoot and resolve customer-facing or technology-related issues.
  • Other tasks as assigned.

 

Skills and Requirements:

  • Strong face-to-face customer service experience.
  • Front desk or receptionist experience is a plus.
  • Strong communication skills.
  • Professional appearance and demeanor.
  • Technologically adept and familiar with the latest trends in technology, particularly AI/ML/AR/VR.
  • Organized and detail-oriented.
  • Ability to thrive in a team environment.
  • Ability to manage responsibilities in a fast-paced setting.

 

Experience:

  • Experience in a related role such as customer service, front desk, or logistics support.
  • Experience with Microsoft Office 365 and its components (SharePoint, Forms, Outlook, Word, Excel).
  • High school diploma and 3+ years of experience working in a team environment, preferably in Tech/Data Collection.

 

Must Have:

  • Front desk/people-facing experience.
  • Excellent customer service skills.
  • Ability to multitask.
  • Creative problem solver.

 

Nice to Have:

  • Experience with tech and AI.
