Who are we looking for?
We are seeking a proactive and highly skilled Executive Assistant to support our dynamic Head of BFS in managing daily operations, driving strategic initiatives, and fostering collaboration across internal teams.
Position Overview
The Executive Assistant will serve as a critical partner to the Business Head, managing complex scheduling, communication, and operational responsibilities. The ideal candidate is a highly organized, solution-oriented professional who thrives in a fast-paced, ambiguous environment and can work independently while maintaining frequent check-ins with the Leader.
Key Responsibilities
- Calendar and Schedule Management: Efficiently manage the Leader s calendar, prioritizing and scheduling meetings with internal and external stakeholders.
- Travel Coordination: Plan and oversee all aspects of domestic and international travel arrangements for the Leader, ensuring seamless logistics by coordinating with the right teams
- Communication: Act as the primary point of contact for the Leader, managing correspondence with Customer s Offices, drafting communications, and maintaining confidentiality at all times.
- Meeting Preparation: Prepare agendas, presentations, and reports for meetings. Ensure follow-ups and action items are tracked and completed.
- Collaboration: Work closely with internal teams to facilitate smooth communication and collaboration across the organization.
- Problem Solving: Handle challenges and ambiguity with a solution-focused mindset, ensuring the Leader s priorities are met.
- Project Support: Assist with special projects and initiatives as directed by the Leader
Qualifications & Skills
- Bachelor s degree or equivalent work experience.
- Max 8-10 years of experience as an Executive Assistant, preferably supporting C-level executives.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
