Job Details

Job Title: Helpdesk Coordinator/Administrative
Location: Indianapolis, IN (Hybrid)
Position Type: Contract
Interview Mode: In-person
Position Overview
The position is structured with approximately 50% helpdesk support, 30% administrative assistance, 10% procurement activities, and 10% other duties, including event coordination and backup account management.
Key Responsibilities
Helpdesk Operations (50%)
  • Serve as the first point of contact for general inquiries from OTC users.
  • Respond to and triage helpdesk tickets, with particular attention to procurement-related requests.
  • Coordinate with internal subject matter experts to obtain accurate information and deliver timely responses to users.
  • Route tickets to appropriate teams when necessary and track resolution progress.
  • Document ticket resolutions and contribute to knowledge base and process documentation.

Administrative Support (30%)

  • Provide administrative support to the CIO, Deputy CIOs, and OTC leadership.
  • Schedule meetings, manage calendars, and coordinate interviews and meetings.
  • Create and manage job requisitions in coordination with Human Resources.
  • Support onboarding and offboarding activities, including equipment, system access, and documentation.
  • Submit and track employee system and ID requests.
  • Coordinate travel arrangements, including lodging, transportation, and reimbursements.
  • Assist with VPN access requests by preparing forms, routing approvals, and submitting requests.
  • Provide general clerical and administrative support to managers and staff.

Procurement Support (10%)

  • Assist with basic procurement activities, including:
    • Initiating and tracking purchase orders.
    • Coordinating renewals and terminations of purchase orders.
    • Ordering office supplies and equipment for staff.

Organizational Maintenance

  • Create and maintain organizational charts.
  • Maintain an accurate master list of all OTC employees.
  • Manage access to files and shared resources as appropriate to job responsibilities.
  • Handle sensitive information with discretion and confidentiality.

Backup Account Management Support

  • Serve as a backup for user account management tasks, including provisioning, access updates, and periodic access reviews.

Event Coordination

  • Plan and coordinate division-wide meetings and all-staff events.
  • Manage logistics such as catering, RSVPs, gift cards, and technical setup.
  • Support special projects and other duties as assigned.
