Title: VPC Change & Training Coordinator
Location: Jacksonville, FL (3/2)
Duration: 12-24 months, with potential to extend Travel: 1x/month as needed
Compensation: $50-$55/hr

VPC Change & Training Coordinator

Responsibilities:

  • The VPC Change & Training Coordinator is responsible for supporting change adoption activities alongside the DRIVE Project Team for a successful transition for the Vehicle Process Centers (VPCs).
  • The role focuses on ensuring that associates and stakeholders are prepared for and committed to changes in processes, systems, or behaviors.
  • Act as a bridge between the change management team, project teams, and impacted stakeholders.
  • Change Engagement & Training (CE&T)
  • Assist in the development, planning, and execution of change activities, such as town halls, workshops, focus groups, and training.
  • Coordinate and disseminate communication materials to ensure consistent messaging.
  • Assist in drafting emails, surveys, presentations, and newsletters related to the change.
  • Assist in collection & organization of feedback to improve content and delivery.
  • Manage distribution lists, ensuring communications reach the right audience at the right time and escalate significant concerns to the change engagement & training team
  • Support the execution of timelines and milestones for change activities, including training,
  • communications, and engagement.
  • Registration Management: Schedule, organize, tracking responses, and attendance metrics
  • Meeting Logistics Coordination: Booking meeting space, catering orders, visitor management requests, facilities requests, meeting materials)
  • Assist in drafting and distributing communication materials
  • Update dashboards, reports, and schedules. Distribute to stakeholders as needed.
  • Calendar Management: DRIVE - VPC Team Shared Calendar
  • Team Support for Travel Needs: travel arrangements, pool car reservations, event coordination
  • Draft and send a change-related email to a specific department or audience group.
  • Schedule and track attendance for an upcoming change activity or meeting as well as execute determined communication plan (invitation, reminder, post-event survey, etc.)
  • Gather and procure necessary supplies and materials for the team
  • Update the change management dashboard with data from the latest readiness survey.
  • Attend a project team meeting or training session to provide updates on engagement activities.
  • Track completion rates for a recently launched e-learning course.
  • Confirm logistics ahead of an event or meeting scheduled
  • Prepare a report summarizing associate sentiment trends for the leadership team.
  • Design Phase: Assist in planning change activities and developing stakeholder maps.
  • Build Phase: Coordinate communication and training efforts.
  • Test Phase: Track readiness and address resistance.
  • Go-Live: Facilitate go-live communications and monitor adoption metrics.
  • Post-Go-Live: Support reinforcement activities and measure change success.
Qualifications:
  • Experience: 2+ years related experience in administrative assistance or meeting coordination & logistics preferably within Organizational Change Management or large-scale IT Projects.
  • Communication: Clear written and verbal communication to engage diverse stakeholders.
  • Organization: Ability to manage multiple tasks, schedules, and deadlines simultaneously.
  • Interpersonal Skills: Build relationships with teams and act as a liaison between stakeholders.
  • Sense of Humor: Foster camaraderie & teamwork within a high-pressure environment
  • Adaptability: Respond effectively to changing priorities and project needs.
  • Self-starter: Ability to work without extensive direction and/or instruction.
  • Technical Proficiency: Familiarity with tools like Microsoft Office Suite, Power BI, or collaboration platforms (e.g., Teams, SharePoint).
