Job Title: Administrative Assistant
Job Type: W2 Contract - 12 months
Location: Maplewood, MN (4 days onsite, 1 day remote)
Schedule: M-F 40 hours per week
Pay Rate: $ 20 - 22 / hour
Position Overview:
The Administrative Assistant provides high-level administrative support to a department or individual, operating with minimal supervision and a high degree of professionalism. This role requires a detail-oriented and organized individual who can efficiently manage a variety of administrative functions while contributing to a collaborative work environment. The ideal candidate is proactive, self-directed, and experienced in administrative best practices, with a strong ability to prioritize tasks and meet deadlines in a dynamic setting.
Key Responsibilities
  • Manage day-to-day administrative operations including calendar management, scheduling meetings, answering phones, filing, record keeping, and distributing mail.
  • Provide end-to-end support for purchasing activities including processing, tracking, and managing purchase orders (POs) using SAP software (e.g., vendors, buyers, payments, service entry sheets).
  • Organize and coordinate on-site and off-site meetings, including travel arrangements, Microsoft Teams logistics, meeting space setup, and compiling materials.
  • Format and distribute internal communications such as memos, emails, presentations, and reports.
  • Monitor and manage office and lab supply inventories and process restocking requests as needed.
  • Collaborate with the Executive Assistant on access management, special purchasing requests, and SharePoint permissions.
  • Maintain accuracy in databases and confidential records, ensuring compliance with organizational policies and procedures.
  • Support special projects and team initiatives including CTE&I events, Scrappy Days, and other internal programs.
Qualifications
  • Proven ability to work independently and handle non-routine tasks using sound judgment and discretion.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with SAP systems required.
  • Strong organizational, communication, and problem-solving skills.
  • Experience handling confidential and sensitive information with integrity.
  • Ability to multitask effectively and adapt in a fast-paced environment.
