POSITION SUMMARY
Reporting to the Controller, the Senior Accountant will manage the day to day processing of accounts payable, payroll, monitoring of expenditures, invoicing and assisting with the month-end and year-end close process. This position supports and advises on the general accounting functions for client. The Senior Accountant will assist the Controller with oversight of client’s financial practices which includes accounting, internal controls, billing, collection, and payroll processing and oversight of the payroll function.

QUALIFICATIONS

Required

  • Bachelor’s degree in finance, accounting or related field
  • Minimum 5 years of relevant experience

  • Knowledge of GAAP, Quickbooks Online and payroll processing software

Preferred

  • Experience in non-profit accounting

PHYSICAL REQUIREMENTS

  • Stand or sit for long periods of time.

  • Ability to lift 15-30 pounds on an as needed basis.

ESSENTIAL DUTIES

Accounting & Financial Operations

  • Manage accounts receivable functions, record daily deposits, and create invoices for corporate sponsorships, CWSP program revenue and other income as needed.

  • Record contributions, pledges, grants, and endowment activities.

  • Prepare and process monthly journal entries and reconcile all balance sheet accounts for client and the Work Study Program.

  • Manage accounts payable functions, resolve vendor invoice discrepancies, and ensure timely payment of all vendor and employee-related expenses.

  • Prepare all bank account reconciliations for client and the Work Study Program.

  • Prepare quarterly sales and use tax returns, 1099s, and 571-L forms.

  • Monitor actual performance against the approved budget throughout the year for each department.

  • Assist with tracking of expenditures related to restricted funding received.

  • Maintain the cash log in partnership with the Advancement Team.

  • Complete monthly reclassifications of journal entries as needed.

Payroll & Expense Management

  • Responsible for semi-monthly payroll processing through Paylocity, in partnership with the Controller and HR Manager.

  • Communicate expectations with internal stakeholders regarding payroll deadlines, payroll approvals and required compliance.

  • Manage the school’s credit card expense platforms (Ramp, Amex, Heritage).

  • Monitor and review transactions to ensure appropriate documentation, coding, and approval.

  • Communicate deadlines and provide training and support to cardholders to promote credit card policy compliance.

Budgeting & Audit Support

  • Assist in the preparation of the school’s annual operating budget.

  • Support the annual financial audit and assist with preparation of required schedules and documentation.

Admissions & Financial Aid Support

  • Assist with the admissions application and enrollment process, including review of family financials to determine eligibility.

Customer Service & General Support

  • Support the team by serving as a financial resource for students and their families, helping them understand financial aid, tuition obligations, and financial concepts.

  • Collaboratively work with other departments, such as admissions, development, and student life, to provide financial insights and support for their initiatives.

  • Perform other related duties as necessary or assigned.

  • Mentor and assist the other team members, as requested.

  • Assist with the maintenance of the client Finance Calendar.
